Project Administrator – Residential Construction
We are seeking a detail-oriented Project Administrator to join our growing residential construction team. The ideal candidate is highly organized, proactive, and experienced in supporting construction projects from contract through closeout. This position requires proficiency in Buildertrend and QuickBooks, along with excellent communication and administrative skills.
Responsibilities:
- Manage project documentation from contract execution through project completion.
- Create and maintain projects in Buildertrend.
- Generate and track purchase orders, invoices, and change orders.
- Assist with customer selections and maintain accurate project records.
- Coordinate schedules, subcontractor documentation, and material deliveries.
- Process invoices and reconcile job costs using QuickBooks.
- Support project managers with budgeting, job costing, and administrative tasks.
- Track permits, inspections, insurance certificates, and lien waivers.
- Prepare weekly project reports and maintain organized digital files.
- Communicate professionally with homeowners, vendors, subcontractors, and team members.
Qualifications:
- Minimum 3 years of administrative experience in residential construction.
- Proficiency with Buildertrend.
- Proficiency with QuickBooks.
- Strong understanding of residential construction processes.
- Excellent organizational and time-management skills.
- Ability to manage multiple projects in a fast-paced environment.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office (Excel, Word, Outlook) and Google Workspace.
- High attention to detail and ability to work independently.
Preferred Qualifications:
- Experience with high-end residential remodeling or custom home construction.
- Knowledge of permitting, contracts, change orders, and construction accounting.
- Experience coordinating subcontractors and material procurement.

Pay: $52,455.34 - $63,172.02 per year
