Purpose of Job
The purpose of this classification is two-fold: first, the successful candidate will be responsible for monitoring special matters, such as conservatorships, guardianships, receiverships, name changes, ADA/interpreter requests, and involuntary commitments.
Essential Functions
The Special Matters Clerk is responsible for the following essential functions:

Communicate effectively with and actively assist persons with special matters before the Knox County Chancery Court, such as conservatorships, guardianships, receiverships, name changes, and involuntary commitments.

Provide the highest level of customer service by receiving and responding to a variety of questions and requests from parties, fiduciaries, attorneys, and the public for information about the Court’s policies, procedures, and cases.

Process and monitor files for special matters, receive and reconcile fiduciary accountings, calendar deadlines, assist with scheduling hearings, send reminders, and prepare orders and other filings.

Assist Records Management Clerk with processing, maintaining, and archiving physical and electronic records in the Court’s records repository and information management systems.

Perform administrative support work such as a word processing, scanning, copying, creating reports, entering and retrieving data, answering phones, and managing incoming/outgoing mail (digital and paper).

Assist with other duties as needed to ensure the efficient and timely processing of information through the Court’s case management system.
Additional Job Functions

Ensure regular, punctual attendance during scheduled work hours.

Perform other duties as required.
Minimum Training & Qualifications
-
Associate degree in business, accounting or related field.

One (1) or more years’ experience in banking, customer service, financial institutions, government office, law office, or related field; knowledge of the judicial system preferred.

Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities may be considered for employment into the position.
Specialized Knowledge
-
Experience in bank statement reconciliation; Ability to manage video conferences.
Competencies

Ability to work in a position of moderate complexity

Proficient in use of PCs, tablets, smartphones, video conference setups, and other electronic devices

Demonstrates an ability and willingness to learn, adopt, and effectively use evolving court technology systems.

Possesses and maintains the technological skills necessary to perform duties within the court’s integrated information management systems (case management, document management, document generation, and payment receipting).

Accurately enters and retrieves data, manages electronic records, processes transactions, and scans records.

Adapts to new software platforms, system upgrades, and integrated technologies implemented by the Clerk and Master.

Participates in required training and maintains proficiency in technology necessary to support efficient court operations.
Physical Requirements

This position requires the ability to engage in occasional, moderate physical activity. Ability to lift up to 25lbs.
