Job Summary
We are seeking an intuitive and highly organized Administrative Professional to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring seamless communication, efficient administrative task management, and exceptional support for our mental health counselors and clients. **This job is currently part time but as the possiblity to move to full time.**
Duties
- Manage and share front desk responsibilities, greeting clients and assisting them appropriately with professional phone etiquette.
- Operate phone systems to handle incoming calls efficiently, providing excellent customer support and client communication.
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and confidential information.
- Perform data entry tasks accurately using Google Workspace applications.
- Assist with billing duties which may include, helping clients with billing questions, sending insurance claims, create invoices, and work with clients to create payment plans.
- Calendar management and schedule appointments for team members.
- Support office management activities such as ordering supplies, organizing meetings, and maintaining a tidy workspace and front office.
- Communicate with other professionals in the community via phone, text, fax, and email.
Requirements
- Proven clerical experience or office experience demonstrating strong organizational skills and attention to detail
- Proficiency in Google Workspace tools
- 1 year of experience working as a receptionist, biller, scheduler, or other adminstrative professional role.
- Excellent computer literacy with the ability to adapt quickly to new software or systems
- Strong phone communication skills with professional phone etiquette and customer service orientation
- Bilingual abilities are a plus for effective client communication in diverse environments.
- Ability to handle confidential information (HIPAA laws) responsibly while maintaining discretion
- Exceptional time management skills with the ability to prioritize tasks efficiently
- Personal assistant experience or previous office management roles are advantageous
- General knowledge of the mental health field.
- Hiring preference to those who have medical billing experience.

Pay: $18.50 - $24.00 per hour
