Duties
- Greet visitors, clients, and vendors warmly, providing exceptional customer support and ensuring a positive first impression
- Answer multi-line phone systems promptly, directing calls accurately and professionally using proper phone etiquette
- Manage appointment scheduling and calendar management using productivity software and Google Workspace tools
- Handle data entry tasks with precision, maintaining accurate records of appointments, correspondence, and office documentation
- Assist with clerical duties such as filing, proofreading, and organizing office supplies to support overall office efficiency
- Support bookkeeping activities
- Perform general office management tasks such as managing incoming mail, maintaining filing systems, and supporting administrative projects
Requirements
- Proven experience in office management, administrative support, or as a front desk receptionist in a fast-paced environment
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities
- Bilingual abilities are highly desirable to assist diverse client needs
- Experience with medical or dental receptionist duties is a plus, including calendar management for appointments
- Technical proficiency in office equipment and familiarity with bookkeeping software like QuickBooks is preferred
- Previous clerical experience involving proofreading, filing, and document management is advantageous
