Employment Status: Full-Time, Hourly, Non-Exempt, 11-Month Position
Compensation: $20.00–$25.00 per hour, DOE
Typical Schedule: Monday–Friday, approximately 40 hours per week. Occasional evening or weekend hours may be required to support school events, enrollment evenings, or operational needs.

Position Summary
Silverwood School is seeking a detail-oriented, warm, and highly dependable Business and Front Office Coordinator to support the daily financial processing, administrative systems, and front office operations of the school.
This position plays a key role in ensuring the school office runs smoothly, families are welcomed with care and professionalism, and administrative and financial systems are accurately maintained.
Working closely with the Head of School and Operations & Business Manager, this role is responsible for executing core business office processes, maintaining accurate records, and providing consistent front office support for students, families, staff, and visitors.
This position is well suited for someone who enjoys structure, accuracy, and service-oriented work in a dynamic school environment where no two days are exactly the same.
Key ResponsibilitiesFront Office Operations & Family Support
- Serve as the first point of contact for students, families, staff, and visitors, ensuring a warm and professional welcome
- Answer phones, respond to emails, and route inquiries appropriately and efficiently
- Manage daily student attendance, late arrivals, early dismissals, and check-in/check-out procedures
- Maintain a calm, organized, and welcoming front office environment
- Support day-to-day communication between families and school staff
- Assist with student health office coordination and basic record tracking as needed
Business Office Support
- Support accounts payable and receivable processing in collaboration with the CPA
- Assist with tuition billing support, deposits, and payment reconciliation processes
- Maintain accurate financial and administrative records in school systems
- Support monthly financial documentation preparation for review by the CPA
- Assist with bookkeeping tasks, filing, and data entry with a high level of accuracy and confidentiality
- Support audit preparation and compliance documentation as directed by the CPA and Operations & Business Manager
Enrollment & Student Systems Support
- Assist with enrollment, re-enrollment, and student records management
- Maintain accuracy of student data within the school information system
- Support immunization and compliance documentation tracking
- Update family contact information and records as needed
- Support calendar updates, scheduling logistics, and general administrative workflows
Office & Administrative Support
- Maintain office supplies and ensure a well-organized front office environment
- Support mail distribution, filing systems, and basic office organization
- Assist with preparation for school events, meetings, and community gatherings
- Provide general administrative support to school leadership and office staff as needed
- Support smooth daily operational flow across front office functions
QualificationsRequired
- High school diploma or equivalent (associate degree or coursework in business/accounting preferred)
- 2+ years of experience in office administration, bookkeeping, customer service, or school settings
- Strong attention to detail and accuracy in data entry and recordkeeping
- Excellent interpersonal and communication skills
- Ability to manage multiple tasks in a fast-paced environment
- Proficiency with Google Workspace and general office systems
- Ability to maintain confidentiality with financial, student, and personnel information
- Must successfully pass a comprehensive background check in accordance with Washington State requirements for school employees, including criminal history and reference checks.
Preferred
- Experience with bookkeeping or basic accounting functions
- Experience working in a school or nonprofit environment
- Familiarity with student information systems and/or accounting software (e.g., QuickBooks or similar)
- Experience supporting front office or customer service environments

Physical Requirements
- Ability to sit, stand, walk, bend, and lift up to 25 pounds
