Job Summary
Gravity Construction is seeking an experienced Construction Office Manager to support our accounting, project administration, and daily office operations.
We are looking for someone with construction industry experience who understands construction paperwork, job costing, billing, vendors, subcontractors, and project documentation.
Key Responsibilities
- Perform accurate data entry in Sage
- Enter vendor bills, invoices, expenses, receipts, and other accounting information
- Maintain Accounts Payable (AP) and Accounts Receivable (AR) records
- Prepare and organize invoices for management review/approval
- Enter and maintain customer billing information
- Track outstanding invoices and assist with collection follow-ups
- Maintain vendor and subcontractor account records
- Reconcile and organize vendor statements and supporting documentation
- Maintain accurate job-cost and project accounting records
- Perform administrative/data-entry functions in HeavyJob and HeavyBid
- Enter project, job, cost, and other required information into company systems
- Assist with bid applications, prequalification packages, vendor applications, and project paperwork
- Maintain contracts, purchase orders, change orders, invoices, and supporting documentation
- Communicate with clients, vendors, subcontractors, and project teams regarding paperwork and account information
- Answer and manage incoming phone calls and emails
- Receive, review, organize, and distribute company mail
- Maintain organized electronic and physical files
- Provide administrative support to management and project teams
- Handle general day-to-day construction office administration
Requirements
- Previous construction industry experience strongly preferred
- Experience with Sage accounting software
- Knowledge of construction AP, AR, invoicing, billing, and job-cost data entry
- HeavyJob and/or HeavyBid experience preferred
- Familiarity with construction vendors, subcontractors, contracts, and project documentation
- Strong data-entry and computer skills
- High attention to detail and accuracy
- Strong organizational and communication skills
- Ability to manage multiple projects, invoices, and administrative responsibilities
- Comfortable communicating with clients, vendors, and subcontractors
- Ability to work independently while following management approval procedures
Pay: $70,000.00 - $75,000.00 per year
Experience:
- Sage: 1 year (Preferred)
- Construction administrative: 1 year (Preferred)
