THE ROLE
This is a full-time, in-office position. You will be the first voice clients hear on the phone and the first face they see when they walk in. You own the client-facing side of our operations — scheduling, document follow-up, client communication, TaxDome management, and day-to-day office administration.
This role is not for someone who needs daily direction. It is for someone who sees what needs to be done and does it.
WHAT YOU'LL DO
- Answer all incoming calls live and greet in-office clients professionally
- Schedule and confirm client appointments; manage the firm's shared calendar
- Follow up on missing client documents with structured, deadline-driven outreach
- Log all client interactions and track tasks in TaxDome (our client portal)
- Upload finalized tax returns to the client portal via CCH Axcess
- Qualify inbound prospects using our client intake guide; schedule complimentary 15-minute calls for right-fit prospects
- Manage office supplies, incoming mail, and day-to-day administrative operations
- Assist with CPACharge payment inquiries; route billing questions to the appropriate team member
WHAT WE'RE LOOKING FOR
- 3–5 years in a client-facing administrative or operations role; professional services experience strongly required
- Genuinely tech-savvy — you learn new software quickly and work comfortably in multiple systems at once
- Self-directed — you do not need to be reminded to follow up or told what to do next
- Strong problem-solver — you find solutions before escalating
- Exceptional multitasker — you handle calls, clients, and tasks simultaneously without dropping anything
- Professional and polished — our clients are business owners and high-net-worth individuals
- Experience with TaxDome, CCH Axcess, or similar platforms is a plus but not required
SCHEDULE
- Full-time, Monday–Friday, 9:00 AM–5:00 PM | In-office required
- Tax season flexibility required (January–April)

Pay: From $42,000.00 per year
