As a Payroll Specialist, you will be in the administration group processing weekly payroll and will interface with all departments within Quality Electric Inc.
A Payroll Specialist must be motivated, a self-starter, have strong analytical and problem-solving skills, show initiative, and willingness to adapt to constant changes. You are a representative of our company and expected to always dress appropriately as well as exhibit professional conduct.

A payroll specialist will help oversee the organization’s payroll functions, ensuring payroll is processed accurately, and on time to meet deadlines. Ensuring compliance with state and government regulations so a strong knowledge of payroll is highly preferred.

· Ability to handle confidential information is paramount
· Leading and managing a team of payroll specialists or clerks, providing guidance, training, and support as needed
· Developing and implementing payroll policies, procedures, and best practices to ensure accuracy, efficiency, and compliance with relevant laws and regulations
· Identifies and recommends updates to payroll processing software, systems, and procedures
· Direct the preparation of payroll related documents
· Overseeing the processing of payroll for all employees, including calculating wages, salaries, overtime, and deductions
· Oversees compliance with statutory reporting and filing requirements
· Managing employee benefits program and coordinating deductions for health insurance, retirement plans, and other benefits
· Resolving complex payroll issues and discrepancies, and providing guidance to the payroll team on problem solving techniques
· Prepare relevant weekly, monthly, quarterly and year-end reports.
· Prepare year-end W2’s
· Ensuring accurate calculation of federal income tax withholding from employees’ wages
· Calculating and remitting the employer’s portion of Social Security and Medicare Taxes
· Completing and filing Form 941 by the required deadlines, which are typically quarterly (every 3 months)
· Ensuring compliance with IRS regulation and guidelines regarding Form 941 reporting and payment
· Keeping up to date with changes in payroll laws, regulations, and technology and implementing necessary updates or changes to payroll systems and processes
· Identifies and recommends updates to payroll processing software, systems, and procedures
· Support all internal and external audits related to payroll
· Direct the preparation of payroll related documents
· Review and improve payroll policies and procedures
· Oversee the maintenance of current employee data systems
· Ensure all payroll information and records are maintained in accordance with statutory requirements
· Interpret new legislation impacting payroll
· Manage and resolve issues relating to payroll production
· Keep up to date on all local unions’ contract changes
· Print and issue pay roll checks
· Manage direct deposit program
· Process payroll by established deadlines
· Manage certified payrolls for all federal jobs
· Develop and maintain comprehensive employee records
· Track compliance with state and federal PTO programs
· Keep up to date on all changes to employee federal tax changes
Required Skills/Abilities:
- Extensive knowledge of the payroll function including preparation, calculating wages, reporting, payroll taxes as well as payroll laws and regulations
- Excellent organizational skills and attention to detail
- Strong analytical and problem-solving skills
- Proficient with Microsoft Office Suite or related software
- Proficient with payroll software
Education and Experience:
- Degree in accounting, Business Administration, Human Resources, or related field preferred
- Three to five years of related experience required
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift 15 pounds at times

Pay: $38.15 - $44.00 per hour
