Responsibilities:
Human Resources:
- Oversee new hire process to ensure background checks, reference checks and new hire paperwork is done to ensure accuracy and completeness
- Champions the new hire orientation and ongoing training for team members
- Coordinate and forward all necessary team member paperwork to Corporate Human Resource Director in a timely manner (Status Change Forms, etc.)
- Possess basic understanding of Team Member Handbook policies and ability to explain policies to team members
- Possess basic understanding of Team Member Benefit Enrollment Guide and ability to explain on a basic level to team members
- Assist department heads with their departmental payroll to ensure accuracy of team member time sheets
- Maintains team member personnel files with respect to confidentiality and legal compliance
- Serves as a liaison for worker’s compensation and health benefits
Accounts Payable/Receivable:
- Collect/coordinate approval and submit all vendor invoices to Corporate Accounting Director for processing and payment
- Manage monthly spend down for the community as delegated by the Executive Director
- Collects monthly resident rent payments and assists in routine collection efforts when needed
Administrative/Reception:
- Answer incoming calls and greet visitors and guests in a professional and friendly manner
- Build the community’s reputations through incredible customer service
- Perform a variety of other clerical duties as assigned
- Work closely with residents, their family members, and guests to ensure satisfaction
- Maintain resident files
- Supervise and manage front desk operations
- Assist in sales process by conducting tours as necessary
- Oversee maintenance of office equipment
- Keep inventory of office supplies
Required Qualifications:
- Associates degree preferred
- Two year of office experience, including some managerial experience
- Experience as Business Office Manager in Senior Living Highly preferred
- Advanced computer skills, specifically with Microsoft Office (Outlook, Word, and Excel)
- Working knowledge of general accounting, billing and collection and expense management practices
- Ability to multi-task and handle a fast-paced work environment in a friendly and professional manner
- Demonstrate exemplary attitude, work ethic, and unwavering integrity
- Contribute to an incredible customer service experience
- Able to respond appropriately and quickly to the needs of the residents, team members, visitors, and vendors
- Respond and appropriately handle emergency situations that may arise in a calm, professional and effective manner
- Must be able to pass a criminal background check upon hire and as required by state regulations
