Medical Assistant – Pediatrics
Position Summary
Work as a Medical Assistant (MA) to support pediatric providers in delivering compassionate, family-centered care to infants, children, and adolescents. The MA assists with patient examinations, diagnostic testing, treatments, immunizations, and administrative responsibilities while promoting a safe, welcoming, and child-friendly environment. Responsibilities are performed in accordance with CLIA, NCQA, and established practice standards.
The Medical Assistant works collaboratively with physicians, advanced practice providers, nurses, and office staff to coordinate high-quality pediatric care within their scope of practice. The MA also serves as a liaison between providers, patients, parents, caregivers, and community resources.
Duties and Responsibilities
- Follow all practice policies, procedures, and safety standards.
- Prepare patient charts prior to appointments by reviewing immunization records, growth history, laboratory and diagnostic results, emergency department reports, hospital discharge summaries, specialty consultations, and preventive care needs.
- Anticipate provider needs by ensuring all pertinent clinical information is available before the patient visit.
- Maintain clean, organized, and fully stocked exam rooms with pediatric-specific equipment, supplies, vaccines, and educational materials.
- Welcome patients and families using excellent customer service standards while creating a positive, child-friendly experience.
- Perform patient rooming activities, including documenting the chief complaint, allergies, medications, immunization status, developmental concerns, medical history updates, tobacco exposure, and other age-appropriate information in the electronic medical record (EMR).
- Obtain and accurately document pediatric vital signs and age-specific measurements, including height, weight, head circumference, BMI percentile, pulse oximetry, respiratory rate, temperature, and blood pressure.
- Accurately measure and document growth parameters using pediatric growth charts.
- Perform hearing, vision, respiratory, and other diagnostic screenings as ordered.
- Complete age-appropriate developmental, behavioral, depression, autism, and other standardized screenings according to practice protocols.
- Collect, label, process, and document laboratory specimens following established procedures.
- Perform point-of-care testing and document results accurately while serving as a resource for quality and safety standards.
- Perform venipuncture and capillary specimen collection using pediatric techniques that promote patient comfort and safety.
- Assist providers during examinations, procedures, and minor office surgeries while helping reduce anxiety for pediatric patients.
- Prepare and administer prescribed medications, vaccines, oral medications, nebulizer treatments, topical medications, and injections according to provider orders and current immunization guidelines.
- Educate parents and caregivers regarding vaccine schedules, medication administration, developmental milestones, nutrition, preventive care, and home care instructions as directed by the provider.
- Observe, document, and promptly report patient responses to medications, vaccines, treatments, or changes in condition.
- Process medication refill requests and prior authorizations according to practice guidelines.
- Enter clinical orders into the EMR under provider direction during patient visits.
- Sterilize and process instruments according to infection prevention and practice protocols.
- Monitor vaccine inventory, medication storage, expiration dates, and temperature logs to ensure compliance with regulatory requirements.
- Order and maintain clinical supplies while ensuring exam rooms remain appropriately stocked.
- Collaborate with providers and clinical staff to prioritize appointments based on patient age, symptoms, and urgency.
- Respond professionally to incoming calls from parents and caregivers by providing appropriate clinical guidance within scope of practice and relaying information to providers.
- Coordinate referrals, specialty appointments, diagnostic testing, and follow-up care.
- Reinforce patient and family education regarding preventive health, well-child visits, chronic disease management, nutrition, developmental milestones, safety, and healthy lifestyle practices.
- Recognize pediatric emergencies and communicate promptly with the appropriate clinical personnel while functioning within scope of practice.
- Maintain patient confidentiality and comply with HIPAA regulations.
- Participate in quality improvement initiatives, regulatory compliance activities, staff education, and clinical projects.
- Serve as a preceptor or mentor for new clinical staff when appropriate.
- Cross-train as a Patient Service Representative as needed.
- Demonstrate the ability to work independently while contributing effectively as part of a multidisciplinary healthcare team.
- Maintain required clinical competencies and certifications.
- Perform other duties as assigned.
