We are seeking a dynamic and detail-oriented Records Management Specialist to lead our organization's records and information governance initiatives. In this pivotal role, you will oversee the lifecycle management of a federal government agency records, ensuring compliance with regulatory standards and internal policies. Your expertise will drive the development and maintenance of effective document management systems, enhance metadata and taxonomy structures, and promote best practices in archives management. - Experience with the Federal Records Act.
- Perform records management activities according to Federal government privacy and legal requirements.
- NARA (National Archives and Records Administration) policies, and Controlled Unclassified Information (CUI) standards.
- Manage and optimize document management systems such as SharePoint, Microsoft Purview and other content management platforms to ensure seamless access and retrieval of records.
- Develop, implement, and maintain metadata schemas and taxonomy frameworks to categorize and organize information efficiently across departments.
- Oversee compliance management processes by ensuring adherence to legal, regulatory, and organizational standards related to records retention, privacy, and security.
- Lead archival processing activities in accordance with archival standards, including digitization projects and preservation of historical records.
- Coordinate filing procedures, both physical and electronic, to ensure accurate classification, storage, and retrieval of documents.
- Conduct regular audits of records for accuracy, completeness, and security; implement corrective actions as needed.
- Provide training and guidance on information governance policies, document handling procedures, and best practices in records management.
- Perform technical tasks involved in maintaining Salesforce Customer Relationship Management (CRM) system. e. Participate in the development of information management policies and governance of supporting applications on Microsoft 365 and Salesforce platforms.
- Compile data for reports, transcribe reports, and maintain indexes.
- Ensure that all work products are proofread and free of errors, omissions, and inconsistencies.
Education, Skills and Experience
- Bachelor Degree in related field
- More than 5 years of Records Management experience in a federal government agency.
- Extensive experience with document management systems such as MS Purview, SharePoint, or similar platforms.
- Strong understanding of metadata principles, taxonomy development, and content classification strategies.
- Knowledge of compliance management frameworks related to records retention and information security protocols.
- Proficiency in archives management techniques including archival standards and digitization processes.
- Excellent organizational skills with the ability to manage multiple projects simultaneously while maintaining attention to detail.
- Familiarity with information governance policies, proofing procedures, and data management best practices.
- Ability to communicate complex concepts clearly; experience with training staff on records management practices is a plus.
