We are looking for an Executive Assistant/ Office Manager to perform a variety of administrative and accounting tasks to support our company’s senior-level managers and small team. Executive Assistant’s responsibilities support:
· Accounting operations filing
· Reconciling statements
· Payroll
· Accounts Payable/Receivable
· Rack daily expenses and prepare weekly, monthly or quarterly reports
· Act as the point of contact among executives, employees, clients and other external partners
· Manage executives’ calendars and set up meetings
· Make travel and accommodation arrangements
· Organize and maintain the office filing system
· Word processing
· Format information for internal and external communication – memos, emails, presentations, reports
· Taking minutes during meetings
· Maintaining office appearance and supply inventory
· Screen and direct phone calls and distribute correspondence
To be successful in this role, you should be well-organized, have great time management skills, be able to act without guidance and pleasant to work with. Ultimately, you will contribute to the efficiency of our business by providing personalized, friendly and timely support to executive members.
MUST have following skills:
· Microsoft Office (Word, Excel, PowerPoint, Outlook)
· QuickBooks Accounting
· Contracting (experience in DoD a plus)
· WAWF Experience a plus
· CBA/Union Experience a plus
· Quality (familiar with ISO 9001:2015 a plus)
· Customer Service
· Excellent writing skills
· Work experience as an Executive Assistant, Office Manager, Accountant
· Outstanding organizational and time management skills
· Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
· Excellent verbal and written communications skills
· Discretion and confidentiality
· High School degree
· Must be a US citizen and/or able to obtain a Clearance
Salary is contingent upon experience.
