Job Summary
We are seeking a highly organized and proactive Executive Office Control Assistant to join our dynamic team. Responsibilities
- Manage and coordinate executive calendars, scheduling meetings, appointments, and events with precision using tools like Microsoft Outlook Calendar and Google Workspace.
- Provide exceptional administrative support to C-suite executives, including handling correspondence, preparing reports, and proofreading documents for accuracy.
- Organize and oversee office operations such as filing systems, data entry, bookkeeping with QuickBooks, and maintaining office supplies inventory.
- Assist with event planning for corporate meetings, seminars, or company-wide events, ensuring all logistics are handled seamlessly.
- Facilitate communication through multi-line phone systems, professional phone etiquette, and video conferencing software like Zoom or Microsoft Teams.
- Support project coordination efforts by tracking deadlines, preparing agendas, and collaborating with team members to meet organizational goals.
- Perform clerical tasks such as transcription, proofreading, managing incoming and outgoing mail, and maintaining confidential files with meticulous attention to detail.
Requirements
- Proven experience in office management or administrative roles with a strong background in executive administrative support or personal assistant duties.
- Demonstrated proficiency in productivity software including Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
- Technical proficiency with video conferencing platforms, Docusign for electronic signatures, QuickBooks for bookkeeping, and multi-line phone systems.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong communication skills with professional phone etiquette and the ability to collaborate confidently with C-suite executives and team members.
- Experience in event planning, project coordination, filing systems, and customer service is highly desirable.
- Ability to work independently while managing multiple responsibilities efficiently; familiarity with office experience including front desk duties is a plus.
