Job Overview
We are seeking a motivated and detail-oriented Bookkeeper/Administrative Assistant to join our team. This vital role combines essential bookkeeping responsibilities with comprehensive administrative support, ensuring smooth office operations and accurate financial management. The ideal candidate will bring a proactive attitude, excellent organizational skills, and technical proficiency to handle diverse tasks efficiently. You will be the first point of contact for clients and visitors, manage financial records, and support daily office functions to foster a productive and welcoming environment.
Responsibilities
- Manage accounts payable and receivable using Lightspeed DMS accounting software, ensuring timely processing of invoices, payments, payroll and expense reports.
- Maintain accurate financial records through diligent data entry, reconciliation, journal entries and bookkeeping practices
- Assist with front desk duties including greeting visitors and cashier duties as needed. Answering phone systems, and directing calls with professional phone etiquette
- Support office management tasks such as balancing cash register, filing, completing SOS forms on line, trips to post office or other locations and organizing office.
- Assist with client communication via phone, email, or in person to provide excellent customer service and support
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, spreadsheets and correspondence.
- Perform clerical duties such as data entry, filing, photocopying, and maintaining organized office records
Experience
- Prior experience in bookkeeping or accounting roles utilizing QuickBooks or similar software is highly preferred. Lightspeed experience a Plus.
- Demonstrated office management experience with proficiency in Microsoft Office.
- Strong organizational skills with the ability to multitask effectively .
- Self starter.
- Excellent communication skills, both verbal and written.
- Proven ability to handle front desk responsibilities including phone systems and customer service interactions
- Previous experience supporting administrative functions such as human resources, data entry, filing, and client communication

Pay: $20.69 - $23.53 per hour
