Accounts Receivable & Collections Specialist - PART TIME
Position Summary
We are seeking a detail-oriented and experienced Accounts Receivable & Collections Specialist to manage the accounts receivable aging process and ensure the timely and accurate collection of outstanding invoices. This position will serve as a primary point of contact for customers and internal staff regarding payments and any account balance inquiries.
The ideal candidate will have strong organizational and communication skills, excellent attention to detail, and the ability to work independently while contributing effectively to a team environment.
Key Responsibilities
- Operate the company switchboard in a courteous, professional, and efficient manner.
- Manage daily accounts receivable and collection activities, including monitoring aging reports and following up on outstanding balances.
- Review and evaluate customer accounts to identify past-due balances and collection needs.
- Communicate with customers by phone and email to resolve outstanding balances and address billing concerns.
- Serve as a primary point of contact for customer and internal inquiries regarding billing, collections, and account issues.
- Investigate and resolve billing discrepancies, including lot number issues, invoicing errors, and other account-related concerns.
- Maintain accurate and organized accounts receivable records and document the status and collection activity of customer accounts.
- Prepare and provide weekly accounts receivable updates to management.
- Process customer deposits and payments accurately, following customer-specific payment instructions to ensure account balances remain current and accurate.
- Reconcile customer accounts and verify that all appropriate products, services, and charges have been properly invoiced.
- Assist with invoicing for Aylett Sand & Gravel and Essex Concrete, providing backup support to the primary Accounts Receivable Specialist as needed.
- Assist with month-end closing procedures and account reconciliation
- Enter invoices and financial transactions into QuickBooks Online and reconcile accounts as required.
- Assist with inventory-related responsibilities.
- Order and maintain office supplies.
- Pick up company mail from the post office on your designated day.
- Maintain accurate and organized financial and administrative records.
- Perform other duties and responsibilities as assigned by management.
Required Skills & Qualifications
- 2–3 years of experience in accounts receivable and collections preferred.
- Thorough understanding of accounts receivable processes, procedures, and best practices.
- Working knowledge of basic accounting principles and financial transaction processing.
- Strong ability to review account activity, identify discrepancies, and resolve billing issues.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Ability to communicate professionally and negotiate effectively with customers regarding outstanding balances.
- Highly organized with exceptional attention to detail and accuracy.
- Ability to work independently with minimal supervision while also taking directions from management.
- Ability to work collaboratively and effectively in a team environment.
- Proficiency with Microsoft Word and Excel preferred.
- Experience with QuickBooks Online is preferred.

Monday–Friday, 8:00 AM–4:30 PM
Work Location:
On-site; this position is not eligible for remote work.
