Overview
We are seeking an energetic and detail-oriented Office Receptionist to be the welcoming face of our organization. In this vital role, you will manage front office operations, handle communication with visitors and callers, and support administrative functions that keep our office running smoothly. Your positive attitude and organizational skills will help create a friendly and efficient environment for staff, clients, and visitors alike.
Duties & Responsibilities
- Greet walk-in and appointment-based visitors warmly and direct them appropriately, ensuring a positive first impression.
- Answer telephone promptly and professionally, transferring calls or taking messages as needed.
- Assist with client sign‐in through mini-intakes to collect client contact and demographic information, assess service needs, and direct people to the appropriate agency programs or provide referrals to external service providers when NCR does not offer certain services or programs.
- Manage incoming and outgoing correspondence, including general info emails and mail distribution.
- Maintain organized filing systems, both physical and digital, ensuring easy access to vital documents.
- Assist with data entry tasks using spreadsheets, word processing software, and other productivity tools.
- Support calendar management and scheduling of appointments and meetings efficiently.
- Provide organizational support of NCR community events and annual fundraising activities.
- Provide general clerical support such as photocopying/scanning/faxing, scheduling IT/office equipment maintenance appointments, managing office supplies, and maintaining general cleanliness of office.
- Qualifications
- Strong customer service skills and multi-tasking ability in a fast-paced environment.
- Proven office management or administrative experience in a busy environment.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with social media applications.
- Experience with data entry, filing systems, and data management.
- Excellent phone etiquette with the ability to handle voicemail systems confidently.
- Bilingual skills (English/Spanish) is required to serve a clientele from diverse communities effectively.
- Exceptional organizational skills with the ability to prioritize tasks efficiently.
- Familiarity with nonprofit community service programming is highly desirable.

Pay: $46,000.00 - $50,000.00 per year
