Bilingual Receptionist / Administrative Assistant (Spanish & Arabic Required)

Job Summary
We are seeking a professional, highly organized, and bilingual Receptionist/Administrative Assistant to join our immigration law office. This role is critical to daily operations and serves as the first point of contact for clients. The ideal candidate must be fluent in English, Spanish, and Arabic and comfortable working in a fast-paced legal environment while providing exceptional client service.
Key Responsibilities
- Greet clients and visitors at the front desk with professionalism and discretion
- Manage a multi-line phone system, screen calls, and direct inquiries appropriately
- Communicate with clients in English, Spanish, and Arabic in person and by phone
- Schedule consultations and appointments; maintain attorney and office calendars
- Assist with client intake, document collection, and basic case coordination
- Perform data entry, filing, scanning, and document proofreading to ensure accuracy
- Handle incoming and outgoing correspondence via email and mail
- Support office operations including inventory tracking and supply ordering
- Assist with billing, invoicing, and basic bookkeeping using QuickBooks or similar software
- Maintain a clean, organized, and welcoming reception area
- Handle sensitive and confidential client information with professionalism
Qualifications & Requirements
- Fluency in English, Spanish, and Arabic (required)
- Proven experience in a receptionist or administrative role (law firm or immigration office preferred)
- Strong proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace
- Experience with QuickBooks or similar bookkeeping software preferred
- Excellent phone etiquette and customer service skills
- Strong organizational and multitasking abilities
- High attention to detail and accuracy
- Ability to work efficiently in a fast-paced, client-facing environment
- Typing speed of 50 WPM or higher preferred
