The role of Aesthetic Care Coordinator is set to be the welcoming presence of our medspa. This role blends client concierge service with front desk operations, ensuring every guest receive a luxury, seamless experience. The role is the touch point for our members between services to ensure their questions are answered timely and appropriately.
Responsibilities
- Ensuring all PHI and HIPAA guidelines are adhered to in the clinic.
- Schedule appointments, manage patient records, and ensure accurate documentation of medical information is completed timely.
- Collaborate with medical staff to facilitate patient referrals, follow-ups, and treatment plans.
- Utilize medical terminology effectively to communicate with healthcare providers and patients.
- Assist in administrative tasks such as billing inquiries, membership programs, and maintaining inventory.
- Maintain a welcoming environment for patients by providing exceptional customer service and support.
- Checking voicemail every morning and responding to emails with 24 hours or delegating to another.
Qualifications
- Previous experience in a concierge role or customer service setting is preferred.
- Familiarity with treatments provided in a medapa is essential for effective communication within the healthcare environment.
- Strong commitment to continuing education.
- Social media presence.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent interpersonal skills to build rapport with patients and staff alike.
- Experience in providing medical administrative support is highly desirable.
