The Quality Assurance/Document Control Personnel plays a vital role in ensuring the highest standards of quality and compliance within the Technical Services and Documentation Department at UPI Global Ingredients, located at 2390 Park Center Drive, Mebane, NC 27302. Collaborating with various departments and managers, This position involves meticulous quality assurance steps and effective document control procedures within the Technical Services and Documentation Department.
Quality Assurance Steps:
1. Pre-Approvals:
- Manage all pre-approval emails.
- Maintain an organized tracking system to ensure comprehensive coverage.
- Implement a systematic approach to identify and follow up on pending pre-approvals.
2. Tech Services:
- Swiftly log new customer requests in the cloud-based system (IMS, and X3).
- Determine appropriate steps, including contacting relevant parties and acquiring
necessary information.
- Initiate and maintain a schedule for follow-ups.
- Present data to the customer with clarity and accuracy.
- Proactively handle any changes or clarifications requested by the customer post-presentation.
3. Prioritizing Work:
- Prioritize tasks assigned by the Quality Director within the Technical Services and Documentation Department, giving precedence unless under special circumstances.
- Support in creating and updating Standard Operating Procedures (SOPs) specifically tailored for the Technical Services and Documentation Department.
- Verify and double-check filing procedures related to technical services and documentation.
- Assist salespeople or customers who directly contact the Quality Director for matters within the Technical Services and Documentation Department.
- Handle lab packets, customer complaints, bulk products, and coordinate 3rd party audits within the Technical Services and Documentation Department.
4. Management Instructions:
- Prioritize tasks based on urgency, as indicated by management instructions, especially those from the President within the Technical Services and Documentation Department.
5. COA Relief:
- Aid team members by handling COA-related work during peak periods within the Technical Services and Documentation Department.
- Execute tasks, including pulling Purchase Orders (POs) from X3 for pre-approval and saving original COAs to the pre-org folder.
- Prepare UPI COAs, securing approvals from the Quality Director and the QA Lead within the Technical Services and Documentation Department.
- Ensure proper filing and organization of all documents within the Technical Servicesand Documentation Department.
Pending Review Steps:
Vendor Self-Audit Questionnaires:
- Determine if questionnaires are based on UPI or the manufacturer.
- Utilize phrase lists and previous questionnaires to complete them accurately.
- Seek guidance from the Quality Director or President for any unanswered questions
within the Technical Services and Documentation Department.
- Submit completed questionnaires to the Quality Director for final approval within the
Technical Services and Documentation Department.
- Methodically file signed questionnaires in the S:/-S/-2 Customer Requests folder within the Technical Services and Documentation Department.
Product Documentation Requests:
- Retrieve distributor's/manufacturer's purchase history from X3 under customer service
within the Technical Services and Documentation Department.
- Send product documentation based on the previous two-year purchases.
- Seek clarification from the Quality Director or President in cases of uncertainty within the Technical Services and Documentation Department.
Product Documentation Filing Tag:
- Efficiently update the S drive with tracking numbers within the Technical Services and Documentation Department.
- Organize documentation meticulously, utilizing the UPI code number and supplier I.D.
number within the Technical Services and Documentation Department.
Certificates of Analyses (COAs):
- Prioritize COAs based on type (pick tickets, truck, UPS, Haley).
- Thoroughly verify pre-approval and expiration status.
- Rectify any discrepancies in COA specifications promptly.
- File COAs appropriately in the released folder and create new product folders, when necessary, within the Technical Services and Documentation Department.
Requirements:
- Bachelors degree in Chemistry preferred
Pay: $15.00 - $16.00 per hour
