Job Summary
We are seeking a dedicated and professional Office Assistant to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a proactive attitude. In this role, you will manage front desk operations, provide administrative support, and ensure a welcoming environment for clients, visitors, and staff. Your contributions will be vital in maintaining efficient office workflows and delivering outstanding customer service.
Responsibilities
- Greet visitors and clients warmly, providing exceptional customer support and ensuring a positive first impression.
- Operate multi-line phone systems with professionalism, directing calls accurately and courteously.
- Manage front desk responsibilities including scheduling appointments, handling mail, and maintaining reception area cleanliness.
- Provide administrative support to various departments as needed.
- Assist with scheduling caregiver interviews, orientations, and client visits
- Help prepare and maintain employee and client files (paper and electronic)
- Scan, fax, file, and upload documents into agency systems
- Support onboarding processes (collecting documents, verifying completeness)
- Communicate with caregivers regarding schedules, call-offs, and basic needs
- Assist with tracking documentation such as timesheets, training records, clock work and any expiring documents.
- Help coordinate office flow between field staff and administrative team
Qualifications
- At least 2-3 years in Home Health setting
- Prior office experience with a strong background in administrative support and clerical tasks.
- Experience with multi-line phone systems and professional phone etiquette.
- Excellent organizational skills with the ability to prioritize tasks efficiently.
- Ability to multi-task in a fast paced environment.
Pay: From $20.00 per hour
