A premier boutique CPA firm located in South Oklahoma City is seeking a highly organized and proactive Administrative Assistant to oversee daily office operations and manage our physical office spaces. The ideal candidate ensures our staff can operate efficiently by handling client services, clerical tasks, and comprehensive building/facility management. Facility Management:
- Act as the primary point of contact for building maintenance, janitorial staff, and external vendors/contractors.
- Oversee office supply inventory, breakroom maintenance, and stock levels of essential office equipment.
- Coordinate safety protocols, manage office access/keys, and ensure a clean, professional, and welcoming lobby.
- Handle workspace planning, including desk setups, furniture adjustments, and basic troubleshooting for office equipment.
Administrative Support:
- Greet clients, answer multi-line phone systems, and route inquiries to the appropriate tax professional or accountant.
- Manage firm correspondence, incoming/outgoing mail, and assist with document scanning, and digitizing files.
- Maintain highly confidential client records and assist in preparing tax returns or financial documents for delivery.
- Occasional errands.
Minimum Qualifications:
- Associate’s or Bachelor’s degree.
- 2+ years of prior administrative or office support experience, preferably in a financial, tax, or legal setting.
- Proven experience or strong aptitude for facilities management, vendor coordination, and general office upkeep.
- Proficiency in Microsoft 365 (Word, Excel, Outlook) and Adobe; familiarity with other business software is a plus.
- Strong organizational skills and high attention to detail.
- Strong communication and time-management skills.
- Ability to lift and carry medium-weight boxes safely and repeatedly
- Valid Driver’s license and reliable transportation.
- Must be currently authorized to work in the United States on a full-time basis.
- Must pass background check prior to employment.

Pay: $18.00 - $25.00 per hour
