Responsibilities
- Greet visitors and manage front desk operations with professionalism and warmth
- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Perform data entry and maintain organized filing systems for easy retrieval of documents
- Assist with calendar management, scheduling appointments, and coordinating meetings
- Support office management tasks such as supply inventory, ordering, and organization
- Handle clerical duties including proofreading documents, managing correspondence, and filing
- Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for daily tasks
- Provide customer service support by addressing inquiries efficiently and courteously
- Support bookkeeping activities using QuickBooks or similar accounting software when needed
- Maintain a clean, organized front desk area to promote a welcoming environment
Requirements
- Proven office experience or administrative background with strong organizational skills
- Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, and data entry tools
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly preferred to serve diverse clientele effectively
- Familiarity with clerical tasks such as proofreading, filing, and document management
- Strong time management skills with the ability to prioritize tasks efficiently
- Experience in customer support or customer service roles is advantageous
- Knowledge of office management procedures and basic bookkeeping (e.g., QuickBooks) is a plus
- Personal assistant or medical/dental receptionist experience will be considered an asset
