We are seeking a responsible Administrative Assistant to perform a variety of administrative and clerical tasks in a small West Knoxville law office. No prior legal experience is necessary, and no special training is required. If you have previous experience working in any office as an administrative assistant and want to work in a small office setting, we’d like to hear from you. Duties include providing support to three full-time attorneys (and one part-time attorney) and, most importantly, communicating with our clients, as well as assisting in daily office general administrative activities. Such administrative activities include answering the phone, assembling documents, typing letters, scanning documents and maintaining filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize ongoing work (using MS Word and typical office equipment). Ultimately, a successful Administrative Assistant should work toward the efficient and smooth day-to-day operation of our office.
Essential Responsibilities
- Answer and direct phone calls
- Organize and schedule appointments
- Greet and interact with new and existing clients
- Write and distribute emails, correspondence, letters, faxes and forms
- Assist the attorneys in the preparation and revision of documents
- Proofread documents/correspondence for content, spelling, grammar, language usage and punctuation and put into final form
- Assist with maintaining the office filing system and appointment calendar
- Input billing information and check-writing
- Maintain contact lists
- Act as the point of contact for numerous clients, particularly to follow up on data
- Assist with administrative tasks as requested and other duties as required to support and aid in the workloads of attorneys and peers
Job Qualifications (Education, Experience and Certification):
- High School diploma required (although a college degree is strongly preferred)
- Proven experience as an administrative assistant in an office setting (2 years minimum - Required)
- Customer service skills (2 years minimum - Preferred)
- Knowledge of office management systems and procedures
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with some ability to multi-task
- Accurate typing and a working knowledge of personal computers
- Excellent grammar, spelling, punctuation and proofreading skills
- Ability to work effectively independently and as part of a team

- Monday to Friday
Compensation and Benefits:
- Starting at $20.00 per hour (depending on experience and qualifications)
