JOB DESCRIPTION - Church Office Administrator (OA)
The Office Administrator ensures the efficient operation of all facilities and administrative functions and plays a key role in communication and coordination of activities on site. The OA assists the Church Board, minister, staff, contractors and church community in the smooth operation of the organization. The supervisor of the OA is the Minister and Board leader. This is a non-exempt position at 25 hours per week, in person and remotely, with the potential to grow. A successful OA will be able to handle multiple tasks to ensure the church is well run, maintained, and responsive. This person will be welcoming, generous, efficient, detail-oriented, a great communicator, learner, and professional.
POSITION TASKS AND RESPONSIBILITIES
Manage office phone, correspondence, calendars, website, social media, and filing
Create and send weekly newsletter and other notices via Mailchimp, Gmail or comparable
Schedule in-person/zoom meetings for regular church meetings and track online analytics
Manage access to Google drive and team folders
Maintain scheduled renewal of certifications and licenses (CCLI, UCC, etc)
Track and order eco-friendly office and building supplies
Maintain policies and procedures documentation
Support continued streamlining and automation of manual processes
Manage contractors and invoice approval, manage volunteer office staff as needed
2) Welcoming Environment
Work with volunteers, staff and minister to create a welcoming, inclusive environment
Walk through of facilities to ensure the upkeep of facilities and that help is requested promptly, to be done on days OA is in the office
3) Facilities Coordination
Coordinate building use with volunteers, staff, minister and others as needed
Work with volunteers to coordinate building and grounds projects
Maintain key distribution list and Room Maps (seating chart for regular use)
Coordinate maintenance and repair of office equipment and worship/livestream technology
Monitor routine monthly, quarterly, annual maintenance scheduling
4) Sunday Mornings
Coordinate with church volunteers to maintain a schedule of Sunday support team volunteers
Coordinate weekly with Minister, Music Director in preparation needed for Sunday
Relay pertinent information to volunteers for slides, attendance, offering and other materials
Other projects and tasks as assigned
Requirements
Proficiency in Google Suite, Excel/Numbers, Word/Pages, Zoom, Mailchimp, and various social media platforms.
Several year’s experience as an office administrator
Experience with working with religious communities (preferred)
Pay: $30.00 - $40.00 per hour
