Primary bookkeeping responsibilities
In addition to standard bookkeeping, this position requires skills in manufacturing and retail sales, which add complexity to inventory, payroll, and cost tracking.
Recording financial transactions: Accurately logging all income and expenses, including sales, parts purchases, production costs, and vendor payments.
- Inventory management: Tracking inventory for both raw materials used in manufacturing and finished trailers or parts sold to customers.
- Cost accounting: Monitoring and allocating production costs for manufactured trailers, distinguishing between direct expenses (e.g., materials) and indirect expenses (e.g., overhead).
- Accounts payable and receivable: Managing invoices from suppliers and processing customer payments.
- Payroll administration: Handling payroll for all employees, including production, sales, and administrative staff.
- Bank and account reconciliation: Regularly reconciling bank and credit card statements to ensure accuracy.
- Sales tax management: Collecting, tracking, and remitting sales taxes on trailer and parts sales.
- Financial reporting: Preparing essential financial statements like balance sheets and profit-and-loss statements for the business owner.
- Tax preparation assistance: Supporting external accountants or CPAs during tax filing by compiling necessary financial reports.
Managerial and operational duties
The "manager" portion of this role expands beyond finance to cover key aspects of business operations.
Office management: Handling general administrative tasks, including customer inquiries, scheduling, and maintaining office records.
- Human resources: Assisting with HR functions, such as onboarding new employees and managing personnel files.
- Customer service: Addressing client issues and following up on accounts receivable.
- Process improvement: Implementing new systems and processes to streamline accounting, sales, and manufacturing functions.
- Software and systems management: Using specialized trailer dealer management software (DMS) to manage the entire business from inventory to accounting. Popular options include:
