Surgical Coordinator

Position Overview
The Surgical Coordinator plays a vital role in managing the complete surgical workflow—from patient education and scheduling through post-operative follow-up. This position is fully in-person and requires strong organizational skills, attention to detail, and the ability to communicate effectively with patients, attorneys, providers, and surgical facilities. Experience in orthopedic and spine surgery coordination is strongly preferred.
Key Responsibilities
Patient Coordination
- Coordinate care for surgical candidates on-site in Clifton
- Educate patients on procedures, obtain consents, and assess medical clearance needs
- Collect and verify critical documentation, including accident details, attorney information, and declaration pages
Surgery Scheduling
- Establish tentative surgery dates based on precertification timelines
- Document detailed surgical notes in the EMR, including CPT codes, diagnoses, provider information, and legal details
- Coordinate scheduling with surgical centers and hospitals via Casetabs and email
- Issue calendar invitations to surgical teams as needed
Post-Operative Follow-Up
- Check patients in and out of surgery within the EMR
- Request and upload operative reports
- Conduct 24-hour post-operative wellness checks
- Schedule follow-up appointments and physical therapy
- Prepare disability and out-of-work documentation
Medical Clearance
- Submit consultation orders and transmit documentation to primary care physicians or internal providers
- Track and update medical clearance status within the EMR
Financial & Documentation Oversight
- Ensure surgical authorizations and financial requirements align with insurance guidelines
- Promptly notify leadership of missing or incomplete information
- Confirm all documentation is accurately uploaded and properly labeled in NextGen
Qualifications
- High school diploma or GED required
- Prior experience in a medical office setting required
- Strong computer skills with EMR experience (NextGen preferred)
- Knowledge of medical terminology and surgical workflows
- Orthopedic and/or spine surgery coordination experience preferred
- Bilingual (English/Spanish) a plus, but not required
- Ability to multitask and perform effectively in a fast-paced environment
- Professional communication skills and a strong commitment to patient service
