Bookkeeper & Administrator — Level Design Build
Join our growing team at Level Design Build! We're looking for a Bookkeeper & Administrator to support our continued growth. This role starts as full time and is designed for the long haul — as you demonstrate your expertise, reliability, and impact on the business, there will be opportunities for increased greater responsibility.
The ideal candidate is an experienced construction bookkeeping and administrative professional who understands the unique financial and administrative demands of the construction industry, including job costing, work-in-progress (WIP) reporting, and project management systems.
Strong digital competency is required, including the ability to effectively collaborate across offices using QuickBooks, Buildertrend, Microsoft Office, cloud-based file systems, and virtual communication platforms.
Key Responsibilities
Bookkeeping
- Manage day-to-day bookkeeping functions using QuickBooks
- Process accounts payable and accounts receivable
- Reconcile bank accounts, credit cards, and vendor statements
- Prepare monthly financial reports and assist with year-end close
- Maintain accurate financial records and documentation
Construction Accounting
- Track and maintain accurate job costing for multiple projects
- Prepare and monitor Work-in-Progress (WIP) reports
- Assist with project budgeting, forecasting, and cost analysis
- Monitor project profitability and identify cost variances
- Support project managers with financial reporting and project tracking
Administrative Support
- Manage contracts, change orders, subcontractor documentation, and compliance records
- Coordinate insurance certificates, lien waivers, permits, and project files
- Maintain organized digital filing systems
- Support owners and project managers with general administrative tasks
Software Management
- Maintain and update project information within Buildertrend
- Ensure synchronization between Buildertrend and QuickBooks
- Generate project and financial reports accurately and timely
Required Qualifications
- Expert-level QuickBooks experience
- Construction industry accounting experience (required)
- Proven experience with job costing, WIP reporting, construction financial reporting, and accounts payable & receivable
- Buildertrend experience (or similar platform)
- Strong Microsoft Excel skills
- Excellent organizational and communication skills
- Ability to work independently and manage multiple priorities
Preferred Qualifications
- 3+ years of construction bookkeeping/accounting experience
- Experience working with custom home builders, remodeling contractors, or commercial construction companies
- Experience with construction documentation and lien processes
- Experience assisting with budgeting and cash flow management

Pay: $25.00 - $32.00 per hour
