Job Purpose
The Marketing and Proposal Coordinator contributes to organizational success by developing compelling marketing content, maintaining proposal and pursuit resources, managing website and social media content, supporting marketing campaigns, and ensuring consistent brand messaging across all communication platforms. The position works collaboratively with department leaders, branch teams, and technical staff to provide high-quality marketing and presentation materials that support client engagement, pursuit efforts, and company visibility.
What You'll Do
- Support departments and branches in pursuit efforts by developing, updating, organizing, and providing marketing and proposal materials for Requests for Proposals (RFPs), and interview presentations.
- Coordinate directly with department leaders, branch managers, project managers, and technical staff to gather and maintain content needed for proposals and interviews.
- Review solicitation documents and communicate requested marketing-related requirements, deadlines, and submission specifications to appropriate stakeholders.
- Draft, edit, proofread, and format project descriptions, resumes, cover letters, presentation materials, and other pursuit-related content.
- Maintain proposal templates, content libraries, project profiles, resumes, qualifications packages, and other marketing resources utilized in pursuit efforts.
- Track pursuit opportunities, proposal requests, and key deadlines to support timely delivery of requested materials.
- Prepare and format proposal and interview materials to ensure consistency with company branding, messaging, and quality standards.
- Coordinate and prioritize support for multiple simultaneous pursuit and interview efforts while maintaining accuracy and attention to detail.
- Provide presentation graphics, visual assets, and marketing collateral used by departments and branches during client interviews and pursuit activities.
- Support continuous improvement of proposal and interview resources by maintaining current content, templates, and marketing materials.
- Manage company social media platforms, including content planning, creation, scheduling, and performance monitoring.
- Maintain and update website content, including project profiles, service descriptions, employee features, company news, and other organizational information.
- Coordinate professional photography and maintain digital image libraries.
- Develop and implement marketing initiatives that support company visibility, growth objectives, and brand awareness.
- Create and maintain marketing collateral including brochures, project sheets, presentations, newsletters, advertisements, and promotional materials.
- Develop engaging written and visual content that supports company messaging and strategic objectives.
- Coordinate company announcements, project highlights, award submissions, recruiting campaigns, press releases, and community engagement efforts.
- Support internal communications and employee engagement initiatives.
- Ensure consistency of branding, messaging, and visual identity across all marketing and communication materials.
- Develop and optimize digital content utilizing SEO (Search Engine Optimization) and GEO (Generative Engine Optimization) best practices.
- Conduct keyword research and implement content optimization recommendations using marketing tools and analytics platforms.
- Monitor website, search engine, and content performance metrics and recommend improvements.
- Collaborate with subject matter experts to develop content that supports marketing, communications, and pursuit objectives.
- Ensure digital content remains accurate, current, user-friendly, and aligned with company messaging.
- Assist in the planning and execution of trade shows, conferences, recruiting events, career fairs, industry functions, and company-sponsored events.
- Support community engagement activities and initiatives that strengthen company visibility and brand recognition.
- Maintain marketing databases, proposal resources, project data, resumes, content libraries, and related marketing assets.
- Track marketing and proposal performance metrics and prepare reports as needed.
- Perform any other job-related duties or functions as assigned by management.
- Accountable for leading efforts in implementing continuous improvement initiatives and methodologies to improve processes and increase efficiency.
- Participate in CECI Continuous Improvement events as needed (ex: JDI, RIE & A3’s)
- Maintain SOP’s (Standard Operating Procedures) for compliance practices and other associated functions.

- Bachelor’s degree in Marketing, Communications, Journalism, English, Public Relations, Business Administration, Graphic Design, or a related field
- 2-5 years of marketing, proposal coordination, communications, or related experience.
- Experience managing RFPs and interview presentation materials.
