Position Summary
The Clinical Referral Supervisor is responsible for overseeing the daily operations of the Referral Department while serving as the clinical and operational expert for all referral processes. This individual will lead a team of Referral Specialists, ensuring timely processing of incoming and outgoing referrals, insurance authorizations, specialty coordination, and provider communication while maintaining exceptional patient service.
This is a hands-on leadership position. The Supervisor is expected to actively participate in referral processing, assist with complex cases, remove operational barriers, coach team members, develop workflows, monitor productivity, and drive continuous process improvement.
The ideal candidate is an experienced referral specialist with extensive knowledge of insurance plans, prior authorizations, specialty scheduling, medical terminology, electronic health records, and multi-specialty physician practice operations.
Essential Job Responsibilities
Leadership & Supervision

Provide direct supervision and daily leadership for the Referral Specialist team.

Conduct daily huddles and prioritize workload distribution.

Monitor work queues to ensure referrals are processed within established turnaround times.

Serve as the escalation point for complex referrals, payer issues, provider concerns, and patient complaints.

Coach, mentor, and develop Referral Specialists through ongoing education and performance feedback.

Conduct quality audits and provide corrective coaching as needed.

Participate in interviewing, hiring, onboarding, training, and performance evaluations.
-
Maintain department staffing plans and assist with scheduling and workload balancing.

Foster a positive, collaborative, and accountable team environment.
Referral Operations

Oversee all incoming and outgoing referral workflows.
-
Ensure referrals are complete, accurate, and submitted timely.

Review clinical documentation for completeness before referral submission.

Coordinate referrals with specialty offices, hospitals, imaging centers, surgery centers, infusion centers, and ancillary providers.

Ensure all insurance authorization requirements are met prior to scheduling.

Monitor referral aging reports and prevent delays in patient care.

Track referral completion from initiation through receipt of consultation notes.

Resolve authorization denials and coordinate appeals when appropriate.
-
Ensure referrals comply with payer requirements and contractual obligations.

Maintain referral documentation within the electronic medical record.

Minimum Qualifications
-
High School Diploma or GED required.
-
Minimum 5 years of referral coordination experience in a multi-specialty medical practice.

Minimum 2 years of supervisory or leadership experience preferred.

Experience with eClinicalWorks or similar EMR.
-
Extensive knowledge of referral management and insurance authorization processes.
Preferred Qualifications

Certified Medical Assistant, Certified Professional Coder (CPC), or comparable healthcare certification preferred.

Associate's degree in Healthcare Administration or related field preferred.
