We are looking for an experienced, organized, and dependable HR & Payroll Administrator to support our employees and day-to-day business operations.
Job Description
The HR & Payroll Administrator is responsible for key human resources, payroll, benefits, timekeeping, and administrative functions throughout the company. This position will manage employee processes from recruitment and onboarding through payroll, benefits administration, time tracking, temporary labor coordination, and offboarding.
The ideal candidate has substantial hands-on HR and payroll experience, can independently manage sensitive and deadline-driven responsibilities, is technologically savvy, and is comfortable working in a busy office environment with employees and managers at all levels of the organization.
Key Responsibilities
Recruitment, Onboarding & Offboarding
Coordinate recruitment activities, including posting open positions, communicating with candidates, scheduling interviews, and assisting with the hiring process.
Prepare and coordinate new-hire paperwork, background checks, onboarding documentation, and employee setup.
Assist with new employee orientation and ensure required employment documentation is completed accurately and on time.
Coordinate employee offboarding, including required documentation, system updates, benefits changes, and return of company property.
Maintain accurate, organized, and confidential employee personnel records.
Benefits Administration
Administer employee benefit enrollments, changes, and terminations and assist employees with benefits-related questions.
Coordinate with benefit providers and maintain accurate benefit records.
Assist with annual open enrollment and communicate benefit information, deadlines, and required employee actions.
Payroll & Commission Administration
Independently manage payroll processes from time collection through payroll submission, review, reconciliation, and resolution of discrepancies.
Review payroll information for accuracy, including hours, pay changes, deductions, reimbursements, and other adjustments.
Calculate, verify, and process employee commissions, bonuses, and other variable compensation as applicable.
Maintain accurate payroll records and resolve payroll discrepancies in a timely manner.
Work closely with management and accounting to ensure payroll and compensation information is complete, accurate, and properly documented.
Time Tracking & PTO Management
Monitor employee timekeeping and ensure hours are submitted and recorded accurately.
Track PTO usage, balances, holidays, and other paid or unpaid time away from work.
Follow up with employees and supervisors regarding missing or inaccurate time records and resolve discrepancies before payroll processing.
Maintain accurate attendance and time-off records.
Temporary Labor Coordination
Coordinate the administrative needs associated with temporary labor.
Track temporary employee hours, job assignments, and job information.
Communicate required information to supervisors, payroll, and temporary staffing providers.
Review temporary labor hours and invoices for accuracy as needed.
Office & Telephone Responsibilities
Assist with answering incoming company telephone calls during normal business hours and route calls appropriately.
Provide professional and courteous assistance to customers, employees, vendors, and other callers.
Participate in the company telephone on-call rotation as assigned.
Provide general administrative support to the office and leadership team as needed.
Qualifications
Required Experience
Minimum 3-5 years of progressively responsible, hands-on HR and payroll administration experience required.
Direct experience independently processing payroll from start to finish required.
Experience administering employee benefits, onboarding/offboarding, PTO/timekeeping, and confidential employee records required.
Experience working with payroll, HRIS, and/or timekeeping systems required; ADP experience is strongly preferred.
Experience calculating commissions, bonuses, or other variable compensation is strongly preferred.
Working knowledge of federal and state employment laws, wage-and-hour requirements, payroll practices, and employee recordkeeping; New Jersey experience is preferred.
Experience in a service, construction, restoration, or other fast-paced operational business environment is preferred.
Education & Certifications
Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, or a related field preferred; an equivalent combination of education and substantial relevant experience may be considered.
SHRM-CP, SHRM-SCP, PHR, or SPHR certification preferred.
Skills & Competencies
Exceptional attention to detail with a demonstrated ability to audit work for accuracy and identify discrepancies before they become problems.
Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
Intermediate Microsoft Excel skills, including formulas, sorting/filtering, and reconciling data, plus proficiency with Outlook and Word.
Strong computer and technology skills with the ability to learn and work effectively within multiple software systems.
Strong written and verbal communication skills and the confidence to follow up with employees and managers when information is missing, late, or inaccurate.
Demonstrated ability to work independently, exercise sound judgment, and follow tasks through to completion with minimal supervision.
Ability to maintain strict confidentiality when handling payroll, compensation, benefits, employee relations, and other sensitive employee and company information.
Dependable, professional, service-oriented, and comfortable working with employees at all levels of the organization.
Compensation
$70,000-$90,000 per year, depending on experience and qualifications.

Work Schedule
Monday through Friday during regular office hours. Participation in the company's telephone on-call rotation is required.
