POSITION SUMMARY
The Office Manager is CFC’s professional face during the week and the primary point of contact for congregation members, community partners, and visitors. This role is dedicated solely to office management – responsible for the smooth day-to-day administration of the church office, clear and welcoming communication, and logistical support for the ministry and pastoral team.
This is a part-time, non-exempt position at 20 hours per week. Core hours are 9am – 1pm.
MAIN RESPONSIBILITIES
Church Administration
- Serve as the primary point of contact for all incoming communication – answering phones, responding to emails, welcoming walk-in visitors, and routing inquiries to the appropriate staff or ministry. Manage the church calendar and coordinate scheduling of the building for services, meetings, ministry programs, and community use. Maintain accurate and confidential records, including membership rolls, correspondence files, and official church documents. Keep the congregation directory current, processing additions, updates, and removals as needed. Order and manage office supplies, maintaining appropriate inventory levels within budget. Operate and maintain office equipment, including copiers, multi-line phone systems, and other standard tools; coordinate service requests as needed.
Communications & Publications
- Produce the weekly worship bulletin, incorporating input from the pastor and ministry leaders and ensuring accuracy, consistency, and timely distribution. Prepare and distribute the monthly congregation newsletter, gathering content from ministry teams, editing for clarity and tone, and managing distribution (print and/or digital). Support digital communications as needed, including email announcements, bulletin board updates, and coordination with any website or social media volunteers. Exercise good editorial judgment – proofreading, catching inconsistencies, and presenting information in a clear, welcoming voice that reflects the church’s character.
Ministry & Pastoral Support
- Support the pastor and ministry leaders by following up on action items, tracking task completion, and keeping key information organized and accessible. Assist with the promotion and logistical coordination of upcoming events and programs. Complete administrative projects assigned by the pastor in a timely and professional manner. Serve as a welcoming presence for congregation members and community visitors who come to the office seeking information, pastoral connection, or practical assistance.
QUALIFICATIONS
Required
Technology proficiency. Demonstrated experience with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment. Comfortable learning new systems as needed.
Communication skills. Strong written and verbal communication; able to represent the church professionally and warmly in all interactions.
Editorial instinct. Ability to proofread, self-edit, and produce polished publications with attention to detail, tone, and accuracy.
Organization and follow-through. Ability to manage multiple tasks independently, prioritize effectively, and meet recurring deadlines.
Discretion. Ability to handle sensitive pastoral and membership information with confidentiality and good judgment.
Interpersonal ease. Comfortable working both collaboratively with staff and independently during quiet office hours; friendly and patient with a wide range of people.
Preferred
- Church or nonprofit experience. Familiarity with the rhythms of congregational life, ministry calendars, and the relational nature of church administration.
- Desktop publishing. Experience with bulletin or newsletter production.

Compensation & Schedule
- $21 – $25 per hour, commensurate with experience
- 20 hours per week (hours 9am – 1pm)
- 40 hours PTO (can be used for vacation, sick, etc.)
