About the Practice
We are an established boutique private practice in Midtown Manhattan specializing in Otolaryngology (ENT) and Integrative Medicine, with a specialized focus on maternal-infant health and breastfeeding.
We pride ourselves on providing high-touch, seamless, and deeply personalized care to a boutique, high-end patient clientele. We are seeking a highly articulate, polished, and detail-oriented Medical Administrative Assistant to manage front-desk operations, patient scheduling, and insurance workflows.
Key Responsibilities
EHR & Patient Operations (ModMed)
- EHR Management: Manage patient scheduling, calendar logistics, intake, and charting using ModMed (Modernizing Medicine).
- Patient Experience: Greet patients upon arrival, oversee a confidential check-in/check-out process, schedule follow-ups and outside procedures, and maintain a warm, highly polished, and professional environment.
- Communication: Answer phone calls, respond to patient inquiries, and manage practice email correspondence with discretion, warmth, and promptness.
Revenue Cycle & Insurance Coordination
- Insurance Verification & Authorizations: Verify patient insurance benefits, process precertifications, and secure prior authorizations for scans, specialized testing, and procedures efficiently.
- Financial Logistics: Accurately collect copays, deductibles, and outstanding balances at the time of service.
Light Patient Care & Office Support
- Patient Chaperoning: Serve as a polite and reassuring clinical chaperone during sensitive physical evaluations as needed.
- Office Maintenance: Keep the reception area and consultation rooms clean, organized, prepped, and fully stocked.
Qualifications & Required Skills
- Experience: Minimum of 2 years of experience in a high-end medical office, boutique practice, or healthcare administrative role. Must be a self-starter.
- Software Mastery: Direct hands-on proficiency with ModMed (Modernizing Medicine) is strongly preferred/required.
- Insurance Expertise: Solid understanding of medical insurance verification, prior authorizations, and precertification processes for outpatient diagnostic testing.
- Professional Presence: Exceptional verbal and written communication skills; poised, empathetic, and comfortable working with high-end clientele.
- Reliability & Punctuality: Because we operate with a lean, dedicated team, an exceptional track record of punctuality and dependable attendance is strictly required.
- Attributes: Highly conscientious, trustworthy, exceptionally detail-oriented, and a self-starter who takes initiative without close supervision.
Pay: $26.00 - $29.00 per hour
