Overview
The Hokuliʻa Communtiy Association is seeking a highly motivated, detail-oriented, organized, and professional Design Review Coordinator to support the communityʻs archtectural review and residential construction process. In this pivotal role, you will oversee the review and approval process of design submissions, ensuring all projects meet technical standards, safety regulations, and client specifications. Your expertise will facilitate seamless communication between the Association, Design Review Committee, homeowners, architects, contractors, and subcontractors. The coordinator manages project submissions, supports committee meetings, maintains records and guidelines, and helps ensure projects follow established Design Review and construction procedures.
The ideal candidate is detail-oriented, responsive, diplomatic, and able to manage multiple projects and deadlines.
Primary Responsibilites
- Guide homeowners and project teams through the Design Review Process for new homes, renovations, additions, and other submissions.
- Respond to daily emails and phone calls regarding requirements, timelines, decisions, constrution activity, and next steps.
- Track projects through design review and construction while maintaining accurate files and records.
- Review submissions for completeness before distributing them to committee reviewers.
- Confirm required drawings, applications, forms, fees, and supporting materials have been provided.
- Prepare monthly meeting agendas, review packages, physical meeting materials, and supporting documentation.
- Coordinate committee meetings, inspections, and submission deadlines.
- Manage Zoom, presentations, screen sharing, and other meeting technology.
- Attend meetings, take notes, prepare minutes, document decisions, and communicate results to project teams.
- Track outstanding items, revision requests, conditions, and follow-up actions.
- Update Design Guidelines, forms, and procudures as directed by the committee.
- Maintain project tracking systems, calendars, contractor access lists, and subcontractor information.
- Coordinate construction site access with homeowners, contractors, and security personnel.
- Address routine access concerns and construction-guideline compliance issues with general contractors.
- Provide additional administrative support to the committee and Association management as needed.

- Ability to learn and apply Design Guidelines, community standards, and procedures.
- Experience in and HOA, architectural office, construction company, property management organization, planning department, or design related environment is strongly preferred but not required.
The Design Review Coordinator must be comfortable working independently while taking direction from the Association management and the Design Review Coordinator.
Pay: $27.00 - $37.00 per hour
