JOB SUMMARY
Project Concierge
IRON OAK BUILDING CO is seeking a driven, organized, and customer-focused Project Concierge (PC) to manage the entire customer and project lifecycle from lead generation through final project completion.
At IRON OAK, the Project Concierge is not simply a salesperson or project coordinator. The PC is the primary owner of the customer relationship and project, responsible for generating opportunities, conducting sales appointments, closing business, coordinating the project, managing the customer experience, and ensuring the job is successfully completed.
This is a highly autonomous, performance-driven position for someone who can confidently move between marketing, sales, closing, customer service, construction coordination, and project management.
DUTIES
CORE RESPONSIBILITIES
1. MARKETING & LEAD GENERATION
- Represent IRON OAK professionally in the communities we serve.
- Generate new business through approved outbound and grassroots marketing activities.
- Perform door-to-door prospecting and neighborhood outreach.
- Conduct lead-generation activities within assigned territories.
- Identify homeowners who may need roofing, siding, gutters, exterior improvements, painting, or other IRON OAK services.
- Build relationships with homeowners and local communities.
- Educate prospective customers about IRON OAK's services, process, warranties, memberships, and value proposition.
- Follow up with marketing-generated leads and self-generated prospects.
- Maintain accurate lead information within the CRM.
- Schedule and conduct appointments with qualified prospects.
- Track marketing activity, lead sources, appointments, conversion rates, and results.
- Participate in community marketing, referral programs, promotional campaigns, and other approved business-development initiatives.
- Generate referrals and repeat business through exceptional customer service.
- Maintain a professional appearance and represent the IRON OAK brand at all times.
2. SALES & CUSTOMER CONSULTATION
- Conduct residential sales appointments from initial consultation through contract.
- Perform or coordinate property assessments and project consultations.
- Identify customer needs, concerns, priorities, budget considerations, and project goals.
- Inspect and evaluate applicable exterior building components within the scope of IRON OAK's services.
- Identify potential roofing, siding, gutter, trim, decking, masonry, painting, and other applicable project opportunities.
- Determine whether a project is appropriate for repair, replacement, or additional evaluation.
- Educate homeowners on available solutions rather than using high-pressure sales tactics.
- Explain project scopes, materials, selections, warranties, timelines, payment options, and expectations.
- Present IRON OAK's proposals professionally and accurately.
- Build value around quality, transparency, workmanship, communication, and long-term protection.
- Handle customer objections and questions.
- Conduct follow-up appointments and communications.
- Maintain consistent communication throughout the sales process.
- Utilize the company's approved sales methodology and sales process.
- Accurately document customer information, project requirements, measurements, photos, notes, and selections.
- Ensure the customer fully understands what is and is not included in the proposed scope.
3. SALES CLOSING
- Own the sales process through the final purchasing decision.
- Present proposals and contracts.
- Negotiate within IRON OAK's approved pricing and discount structures.
- Close qualified opportunities.
- Obtain required signatures, selections, approvals, and deposits/payments.
- Explain contract terms, cancellation rights, project requirements, warranties, exclusions, and customer responsibilities.
- Ensure all required documents are completed accurately.
- Identify potential issues before the contract is finalized.
- Never promise work, pricing, timelines, warranties, or services outside of IRON OAK's approved policies.
- Maintain accurate sales forecasts and pipeline information.
- Move sold projects through the CRM into the appropriate production stage.
- Complete a thorough sales-to-production handoff — including the fact that the PC remains responsible for the customer and project.
4. PROJECT MANAGEMENT
Once a project is sold, the Project Concierge continues to own the project through completion.
- Manage the project from signed contract through final completion.
- Serve as the primary point of contact for the homeowner.
- Establish project expectations, timelines, communication preferences, and next steps.
- Coordinate project scheduling.
- Coordinate with subcontractors, crews, suppliers, vendors, inspectors, and internal personnel.
- Verify that crews and subcontractors have the correct scope of work and project information.
- Coordinate material ordering and delivery as required.
- Confirm project selections and specifications before production.
- Coordinate permits, inspections, HOA requirements, and other applicable administrative requirements.
- Coordinate site access, parking, dumpster placement, gates, pets, landscaping concerns, and other property-specific considerations.
- Review project files before production to ensure critical information is complete.
- Monitor project progress from start to finish.
- Communicate schedule changes, weather delays, material delays, production issues, or other project developments to the homeowner.
- Perform regular project follow-up.
- Monitor workmanship and project progress within the PC's role and escalate issues requiring specialized field or management attention.
- Coordinate inspections and required project milestones.
- Identify scope discrepancies, change requests, and unforeseen conditions.
- Prepare and document change orders when required.
- Obtain required customer approvals before unauthorized additional work is performed.
- Ensure project documentation remains current throughout production.
- Coordinate punch-list items and corrective work.
- Conduct or coordinate final walkthroughs.
- Confirm customer satisfaction and completion.
- Coordinate final project documentation.
- Assist with final payment collection and account closeout.
- Ensure completed projects are properly closed in the CRM and internal systems.
- Coordinate warranty documentation and post-project service.
5. CUSTOMER EXPERIENCE
The Project Concierge owns the customer relationship throughout the entire experience.
- Maintain proactive communication rather than waiting for customers to ask for updates.
- Set realistic expectations and communicate changes quickly.
- Respond to customer questions and concerns promptly.
- Maintain professionalism during difficult conversations.
- Resolve routine customer concerns independently whenever possible.
- Escalate issues appropriately when they exceed the PC's authority.
- Maintain accurate records of customer communications.
- Follow through on every commitment made to the customer.
- Ensure customers understand what happens next at every stage.
- Create a professional, transparent, and organized experience from first contact through completion.
- Request reviews, referrals, and repeat business following successful project completion.
6. CRM & ADMINISTRATIVE RESPONSIBILITIES
- Maintain complete and accurate CRM records.
- Update lead, prospect, customer, and project stages.
- Record appointments, communications, notes, measurements, photographs, selections, and project documentation.
- Maintain accurate project scopes and customer selections.
- Upload required documents and photographs.
- Track project milestones and outstanding tasks.
- Maintain accurate sales pipeline information.
- Track project status and anticipated completion dates.
- Document change orders and customer approvals.
- Maintain warranty and post-project records.
- Complete required daily and weekly activity reporting.
- Maintain accurate financial and payment-related project information within the systems available to the PC.
- Follow all IRON OAK documentation and recordkeeping requirements.
7. PROJECT FINANCIAL & SCOPE CONTROL
The PC is responsible for protecting the company's profitability while delivering the contracted scope.
- Understand project pricing and approved margin requirements.
- Sell within IRON OAK's approved pricing structure.
- Apply authorized discounts correctly.
- Monitor project scope against the signed contract.
- Identify potential scope changes before they create financial exposure.
- Obtain authorization for approved change orders.
- Avoid unauthorized work or commitments.
- Communicate material or scope issues that could affect project profitability.
- Coordinate with management when a project requires pricing, scope, or financial approval outside the PC's authority.
- Assist with collecting outstanding customer balances.
- Ensure the final project reflects the approved contract and authorized changes.
8. WARRANTY & POST-PROJECT RESPONSIBILITIES
- Explain applicable IRON OAK workmanship and manufacturer warranties.
- Ensure required warranty documentation is completed.
- Serve as the initial customer contact for post-project concerns.
- Document warranty requests accurately.
- Coordinate warranty inspections and service when appropriate.
- Determine whether an issue should be handled as a warranty matter, maintenance matter, customer-caused issue, or other service request in accordance with company procedures.
- Coordinate approved warranty work with the appropriate personnel.
- Follow warranty issues through resolution.
- Maintain accurate warranty records.
- Maintain relationships with completed customers to encourage referrals, reviews, repeat work, and membership enrollment.
9. MEMBERSHIP & RECURRING CUSTOMER RELATIONSHIPS
- Educate customers about applicable IRON OAK membership and recurring service programs.
- Present membership options during the sales and project lifecycle.
- Assist customers with enrollment.
- Maintain accurate membership information.
- Coordinate recurring inspections and applicable services.
- Identify opportunities for additional legitimate maintenance or improvement work.
- Maintain long-term relationships with past customers.
CONSTRUCTION & PROJECT KNOWLEDGE
The Project Concierge must develop a strong working knowledge of IRON OAK's services and construction processes, including applicable aspects of:
- Asphalt roofing
- Specialty roofing
- Roof repairs
- Roof replacement
- All other roofing details
- Ventilation
- Decking
- Siding
- Gutters and downspouts
- Exterior trim
- Masonry repairs
- Exterior painting
- Interior drywall, paint, and trim where applicable
- Hardscaping
- Material specifications
- Tear-off requirements
- Waste factors
- Property protection
- Site preparation
- Production sequencing
- Subcontractor coordination
- Inspections
- Punch-list completion
- Warranty requirements
The PC is expected to understand enough construction fundamentals to sell projects accurately, identify potential issues, communicate effectively with production personnel, and manage customer expectations.
RESPONSIBILITY & ACCOUNTABILITY
The Project Concierge is ultimately accountable for keeping the customer relationship and project moving forward.
That means the PC must:
Generate the opportunity → Qualify the customer → Conduct the inspection → Sell the project → Close the contract → Set expectations → Coordinate production → Manage communication → Track the project → Resolve issues → Complete the project → Close out the file → Support warranty → Develop the long-term customer relationship.
The PC should operate with an ownership mentality. If something is missing, delayed, unclear, or at risk of falling through the cracks, the expectation is that the PC identifies it and takes action.
