Position Summary
The Operations Associate & Receptionist will manage day-to-day office operations, facilities coordination, reception, and administrative support. This role serves as the first point of contact for employees, visitors, vendors, and external partners while ensuring the office runs smoothly and efficiently.
The ideal candidate is professional, proactive, organized, and comfortable managing multiple priorities in a dynamic environment.
Key Responsibilities
- Serve as the primary point of contact for visitors, guests, vendors, and employees.
- Maintain a welcoming and professional front office environment.
- Manage visitor access, security badges, and front desk operations.
- Coordinate meetings, catering, deliveries, and visitor logistics.
- Support daily office and facilities operations, including maintenance requests and vendor coordination.
- Manage office supplies, inventory, ordering, and workplace needs.
- Coordinate incoming and outgoing shipments and deliveries.
- Assist with employee onboarding logistics and office coordination.
- Provide administrative and scheduling support to senior leadership as needed.
- Support office events, projects, and special initiatives.
- Identify operational issues, troubleshoot concerns, and proactively find solutions.
Qualifications
- Bachelor’s degree required.
- 1+ years of experience in office administration, operations, facilities, reception, or related support roles.
- Strong organizational skills with the ability to manage multiple priorities.
- Professional communication skills and ability to interact with employees, executives, visitors, and vendors.
- Ability to handle confidential information with discretion.
- Self-directed, proactive, and comfortable working in a growing environment.
- Strong attention to detail and problem-solving abilities.
Technical Skills
- Proficiency with Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Experience with office management systems, ERP systems, or receiving systems is a plus.
