Job Title: Church Office Manager
Location: Congregational Church of the Peninsula, Belmont CA
Job Type: Full-Time (40 hrs/week, including at least 4 hours on Sundays)
Job Summary: We are seeking a dedicated and organized Church Office Manager to oversee the day-to-day administrative functions of our church. The ideal candidate will be responsible for providing administrative support, managing communications, and coordinating volunteer efforts to ensure the smooth operation of church activities.
Key Responsibilities:
Administrative Support
- Coordinate administrative functions for the pastors for communications, technical, and miscellaneous needs, including reimbursements, placing orders, copying/scanning/printing, note-taking/transcribing, and calendaring.
- Manage payroll processing and HRIS software management for church staff and contractors.
- Manage the church calendar by reminding church leaders of important events such as the harvest dinner, annual meeting, stewardship breakfast, stewardship letter, tree decorating, sanctuary banner changes, DOJ policies, and more.
- Maintain the church directory and oversee the publication of the annual report.
- Research and implement software or other tools to perform administrative tasks more efficiently.
- Serve as the first point of contact for the church to the public by managing the church’s email inbox, phone, and voicemail.
- Count weekly donations, coordinate with the bookkeeper and treasurer, and perform weekly bank deposits.
- Open, sort, and distribute all mail to tenants, staff, and volunteers as needed (scan and email for volunteers).
- Support the building manager with daily walkthroughs to ensure the building is "ready for business."
- Assist the clerk in maintaining organized church documentation, policies, procedures, and meeting minutes, with regular updates.
- Assist in maintaining records for employee trainings, certifications, and background checks.
Communications
- Manage content creation for regular church communications, including emails, social media publications, and the website.
- Communicate, edit, and generate the weekly bulletin, monthly newsletter, and other church publications.
- Support the social media specialist in posting updates to social media, and upload videos to YouTube, Facebook, and Instagram.
Volunteer Management
- Provide organizational support for boards, staff, and volunteers, including scheduling meetings, canvassing availability, and booking meetings.
- Develop streamlined procedures for committees and volunteers to follow. Proactively meet with church leaders to identify areas for continued support.
- Provide project management support to coordinate volunteers for larger initiatives, track status, follow up, and observe when outside help is needed.
- Help organize church-wide events such as fundraisers and external gatherings.
- Provide support for church hospitality functions by maintaining kitchen supplies and coordinating volunteers for church events.
Qualifications:
- Proven experience in administrative roles, preferably in a church or non-profit setting.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in office software and ability to learn new tools and systems quickly.
- Ability to handle confidential information with discretion.
- Strong attention to detail and problem-solving abilities.
