Position Overview
We are seeking a full-time Surrogate Recruitment and Admissions Coordinator (bilingual preferred) to join our growing team. This is a fast-paced, highly organized, phone-intensive role ideal for someone who thrives in a sales-oriented environment, excels at relationship-building, and is comfortable with consistent and assertive follow-up.
The Surrogate Recruitment and Admissions Coordinator serves as the primary point of contact for gestational surrogate candidates from initial inquiry through acceptance into the program and matching. This role requires excellent communication skills, strong attention to detail, and the ability to clearly articulate expectations while maintaining empathy and professionalism.
The ideal candidate will have professional or personal experience in surrogacy, a background in sales, healthcare, or fertility services, and the flexibility to support surrogates both remotely and in person as needed.
Key Responsibilities
Recruitment & Outreach
- Collaborate closely with the Director of the Program and the Marketing Team to develop and execute comprehensive surrogate recruitment strategies utilizing online platforms, referral networks, community outreach, and events.
- Serve as an engaging, knowledgeable representative of Fairfax Surrogacy within surrogate communities, both online and in person.
- Drive consistent, high-volume outreach and follow-up with prospective surrogates via phone calls, text messages, emails, and Zoom meetings.
- Maintain persistent and assertive follow-up throughout the admissions pipeline to ensure timely progression of qualified candidates.
- Organize, host, and attend local informational and recruitment events to educate women about surrogacy and attract potential surrogate candidates.
- Attend community events and partner-sponsored events to increase awareness of Fairfax Surrogacy and expand local recruitment efforts.
- Monitor and respond promptly to inquiries generated through social media, marketing campaigns, and referral sources.
- Participate in educational sessions, video recordings, and marketing initiatives to support recruitment efforts.
- Assist in identifying opportunities to expand surrogate recruitment efforts.
Admissions, Coordination & Support
- Serve as the primary point of contact for gestational surrogate candidates from inquiry through official acceptance into the program.
- Clearly explain program expectations, eligibility requirements, timelines, and commitment levels.
- Conduct thorough one-on-one interviews with surrogate candidates (and partners when applicable) to assess suitability.
- Proactively engage and follow up with candidates through phone, text, email, and Zoom communication.
- Collect, organize, and review required documentation including medical records, insurance information, and psychological evaluations.
- Maintain accurate, detailed, and up-to-date records in the CRM system.
- Coordinate with fertility clinics, insurance agents, and internal team members to ensure compliance with program requirements.
- Review insurance reports and assist surrogates with obtaining appropriate health insurance and short-term disability coverage when needed.
- Conduct detailed screenings and maintain meticulous documentation to assess eligibility for Fairfax Surrogacy’s program.
- Create and maintain accurate surrogate profiles for matching purposes.
- Coordinate with the Financial Coordinator to support surrogates through the compensation package and financial review process by providing required documentation, education, and follow-up to ensure all steps are completed accurately and on time.
- Support the matching process between surrogates and intended parents in collaboration with internal teams and fertility clinics.
- Provide consistent communication and updates to surrogates regarding their progress within the program.
- Uphold Fairfax Surrogacy’s standards of professionalism, compassion, confidentiality, and documentation.
Local Travel & In-Person Support
- Visit local surrogates as appropriate to provide education, support, and oversight.
- Accompany surrogates to embryo transfer appointments or births within driving distance of the Coordinator’s location, when needed.
- This role requires residency within 30 miles of the Annapolis, MD office to support in-person responsibilities.
Qualifications & Experience
- Minimum 2 years of experience working in a surrogacy agency or personal experience as a gestational surrogate.
- Bilingual proficiency in English and Spanish preferred.
- Background in sales, healthcare, nursing, fertility clinics, or reproductive medicine strongly preferred.
- Demonstrated success in roles requiring frequent phone communication, structured follow-up, and relationship management.
- Highly organized with strong attention to detail and the ability to manage multiple candidates simultaneously.
- Confident, empathetic communicator with professionalism and discretion.
- Ability to thrive in a fast-paced, evolving environment with minimal supervision.
- Flexibility to adjust work hours to accommodate surrogate needs, including phone calls, Zoom meetings, and in-person appointments that may occur during evenings or weekends.
- Strong technical proficiency, including Microsoft Office and CRM systems.
- Genuine passion for supporting individuals and families through the surrogacy journey.
Compensation & Benefits

- Hybrid or remote work options available for candidates within 30 miles of Annapolis, MD.
- Primary work hours for this position are 7:30am to 4:00pm Eastern Time, with flexibility required to accommodate surrogate needs, including phone, Zoom, or in-person appointments outside of these hours as necessary.
