POSITION SUMMARY:
The Administrative Assistant provides administrative and operational support to ensure the efficient day-to-day operation of the office. This role serves as the first point of contact for visitors and employees while supporting office administration, purchasing, onboarding, and basic HR-related functions.
KEY RESPONSIBILITIES:
- Serve as the primary point of contact at the front desk by greeting visitors, answering and directing phone calls, and routing inquiries to the appropriate departments.
- Maintain a professional and organized reception area.
- Order and maintain office supplies, equipment, and other administrative materials to support daily operations.
- Maintain facility records and filing systems, ensuring documentation is accurate, organized, and up to date.
- Coordinate and schedule meetings, conference rooms, and appointments as needed.
- Manage incoming and outgoing correspondence, including mail, packages, and email communications.
- Assist with new hire onboarding by preparing paperwork, coordinating orientation activities, and ensuring required employment documentation is completed.
- Respond to routine employee questions regarding company policies, benefits, and administrative procedures, directing more complex inquiries to Human Resources.
- Create and process purchase orders in accordance with company procedures.
- Process invoices, reconcile vendor billing, and coordinate with Accounting to ensure timely payment.
- Maintain confidentiality of employee and company information.
- Support special projects and perform other administrative duties as assigned.
QUALIFICATIONS AND EXPERIENCE:
- Minimum educational requirement is high school diploma, or equivalent
- Associates Degree with a Business Administration focus preferred; or 2-3 years administrative experience in a manufacturing setting; or an equivalent combination of education and experience
- Able to complete multiple projects on time and with minimal supervision, which often serve several people and contain conflicting deadlines
- Excellent interpersonal and communications skills
- Good understanding of basic math required for quick and accurate counting and calculations
- Proficiency with Microsoft Office, Excel and PowerPoint.
- High attention to detail, accuracy, time management, and organization
- Must have excellent communication and interpersonal skills with the ability to interact with many types of personalities
- Must have sound judgment and discretional skills and be able to work with little supervision
- Must be able to consistently work under pressure and simultaneously prioritize multiple projects
