DIRECTOR OF DEVELOPMENT OPERATIONS | Behind every strong donor relationship is a system that works. As our Director of Development Operations, you'll lead our fundraising infrastructure — data, gift administration, and CRM systems — enabling the rest of Development to focus on what they do best: building relationships.

Position Summary
The Director of Development Operations plays a critical role in advancing Hawaiʻi Foodbank's mission to nourish our ʻohana and strengthen food security across Hawaiʻi. This position provides strategic leadership and oversight of the systems, processes, data, and operational infrastructure that support fundraising, donor engagement, stewardship, and organizational growth.
The ideal candidate is a results-oriented, highly professional, and service-driven leader who thrives in a fast-paced, mission-centered environment. This role requires strong technical expertise, exceptional analytical and organizational skills, sound judgment, and a passion for data, systems, collaboration, and continuous improvement. As the lead administrator of Raiser's Edge NXT, Omatic, and related fundraising technologies, the Director is responsible for ensuring the accuracy, integrity, and effectiveness of donor information, gift administration, reporting, and development operations.
Working closely with Development, Finance, Marketing and Communications, Information Technology, Executive Leadership, donors, and community partners, the Director of Development Operations ensures that Hawaiʻi Foodbank's fundraising infrastructure internally operates with excellence, efficiency, and accountability always in service of strengthening donor relationships and maximizing community impact statewide.
Key Responsibilities
Development Operations Leadership
- Provide strategic leadership and oversight of Hawaiʻi Foodbank's development operations functions, including donor services, gift administration, database administration, reporting, analytics, and fundraising systems.
- Develop, implement, and continuously improve operational policies, procedures, workflows, and internal controls that support efficient, donor-centered fundraising operations.
- Establish and maintain department-wide standards for donor data management, gift administration, reporting, record retention, and system utilization.
- Identify opportunities to improve operational effectiveness through process improvement, automation, technology enhancements, and workflow optimization.
- Support the Vice President of Development in building a scalable fundraising infrastructure that supports organizational growth and long-term fundraising success.
CRM Administration & Development Systems Management
- Serve as the primary administrator and organizational subject matter expert for Raiser's Edge NXT, Omatic, Fundraise Up, Givebutter, Mail Chimp, and related fundraising technologies.
- Develop and maintain database governance standards, coding structures, business rules, user permissions, security protocols, and documentation procedures.
- Ensure the accuracy, consistency, integrity, and security of donor, constituent, campaign, and gift records.
- Manage integrations between Raiser's Edge NXT, Omatic, online giving platforms, financial systems, marketing platforms, and other organizational technologies.
- Lead database optimization initiatives and implement system enhancements that improve fundraising effectiveness and operational efficiency.
- Monitor system performance, troubleshoot issues, coordinate upgrades, and manage relationships with technology vendors and service providers.
- Develop and deliver training, support, and guidance to staff regarding Raiser's Edge NXT functionality, reporting capabilities, data standards, and best practices.
- Stay current on fundraising technology trends and recommend solutions that enhance organizational effectiveness.
Data Governance, Reporting & Analytics
- Develop and maintain executive dashboards, fundraising reports, and analytics that support organizational and departmental decision-making.
- Produce and analyze reports related to fundraising performance, donor retention, donor acquisition, campaign performance, stewardship activities, donor trends, and revenue results.
- Conduct regular audits of donor and fundraising data to ensure accuracy, consistency, and compliance with organizational standards.
- Utilize Raiser's Edge NXT reporting tools and analytics to identify trends, opportunities, and areas for operational improvement.
- Support preparation of reports and data requests for Executive Leadership, Board Committees, audits, grant reporting, and strategic planning initiatives.
- Ensure fundraising data is accessible, reliable, and actionable for staff and leadership.
Gift Administration, Donor Services & Stewardship Support
- Oversee gift processing operations to ensure accurate, timely, and compliant recording of all contributions.
- Ensure proper administration of cash gifts, online gifts, recurring gifts, pledges, matching gifts, donor-advised fund contributions, stock gifts, in-kind gifts, bequests/planned gifts and other complex transactions.
- Oversee donor acknowledgment processes to ensure timely, accurate, and meaningful donor recognition.
- Ensure donor inquiries, requests, and service needs are handled professionally, efficiently, and with a donor-centered approach.
- Document, maintain, and regularly update procedures related to gift administration, donor records management, acknowledgment processes, and donor services in keeping with current industry practices, security and privacy requirements, and Foodbank-specific considerations.
- Support stewardship and donor engagement efforts by ensuring accurate donor records, recognition tracking, and reporting.
Financial Reconciliation, Compliance & Risk Management
- Partner closely with the Finance team to ensure timely and accurate reconciliation of fundraising revenue, donor transactions, pledges, and gift records between Raiser's Edge NXT and Net Suite, financial reporting systems.
- Support monthly, quarterly, and annual reconciliation and reporting processes related to fundraising revenue and donor activity.
- Maintain documentation and reporting practices that support transparency and organizational accountability.
- Assist with audit preparation and documentation requests related to fundraising activities and donor records.
Vendor Management & Operational Excellence
- Manage relationships with third-party vendors supporting gift processing, data management, reporting, fundraising technologies, and development operations services.
- Ensure effective coordination between external vendors and internal systems and processes.
- Evaluate and recommend operational improvements, technology investments, and system enhancements that strengthen development operations.
- Develop and maintain documentation, process maps, and operational procedures that support consistency and sustainability.
- Monitor service levels and vendor performance to ensure quality, reliability, efficiency, and cost-effectiveness.
Cross Department & Mission Support
- Work collaboratively across departments to support integrated fundraising, donor engagement, stewardship, and community impact efforts.
- Partner closely with Finance, Information Technology, Marketing and Communications, and Development leadership to align systems, data, reporting, and operational priorities.
- Provide operational expertise and data-driven insights that support campaign planning, budgeting, forecasting, and organizational decision-making.
- Serve as a trusted resource to the Vice President of Development and department leadership regarding development operations strategy, technology investments, reporting, and process improvements.
Qualifications & ExperienceRequired
Qualifications
- Experience working with Omatic or similar data integration and automation tools.
- Demonstrated experience overseeing gift processing, donor services, donor acknowledgments, and fundraising operations workflows.
- Experience developing fundraising reports, dashboards, analytics, and performance metrics to support organizational and departmental decision-making.
- Experience establishing and maintaining data governance standards, database integrity, quality control processes, and constituent data management practices.
- Strong project management, organizational, and process improvement skills with the ability to manage multiple priorities and deadlines.
- Exceptional analytical skills, attention to detail, and commitment to data accuracy.
- Strong written and verbal communication skills with the ability to effectively communicate complex information to staff, leadership, and stakeholders.
Preferred Qualifications
- Experience supervising development operations, donor services, database administration, advancement services, or fundraising operations staff.
- Advanced knowledge of Raiser's Edge NXT reporting, queries, dashboards, analytics, and fundraising performance metrics.
- Experience managing fundraising technology vendors, software implementations, system upgrades, and technology integrations.
- Familiarity with nonprofit accounting principles related to fundraising revenue, gift administration, and donor-restricted funds.
- Experience supporting organizational audits, compliance reviews, and fundraising reporting requirements.
- Experience working in a nonprofit organization with complex fundraising operations and multiple revenue streams.

Education and Experience
- Bachelor's degree in Business Administration, Information Systems, Finance, Nonprofit Management, Data Analytics, or related field, or equivalent combination of education and experience.
- Minimum of 7 years of progressively responsible experience in development operations, fundraising operations, donor database administration, advancement services, or nonprofit management.
- Minimum of 5 years of experience administering Raiser's Edge NXT or a comparable nonprofit CRM platform, including database governance, reporting, analytics, gift administration, and system administration responsibilities.
- Experience managing fundraising systems, donor records, gift administration, reporting, analytics, reconciliation processes, and operational workflows.
- Experience utilizing data and technology to improve organizational effectiveness, operational efficiency, and fundraising performance.
Language Skills:
- Ability to read and comprehend simple instructions, short correspondence and memos.

- Hybrid, working 4 days in office and 1 day remote after 90 days.

- The noise level ranges from quiet to moderate to loud at times.
