JOB SUMMARY
Provide administrative, organizational, and clerical support to Property Manager and other Property Management personnel.
ESSENTIAL FUNCTIONS
· Assist Leasing Specialist with preparing and enter housing applications into computer system.
· Assist in processing applications, recertifications and other related functions to support Property Managers.
· Enter data and maintain resident lists.
· Set up and maintain files.
· Track, distribute and file Property Management reviews, reports, responses and related information.
· Prepare, distribute and maintain weekly and monthly reports.
· Maintain and distribute policies and procedures for Property Management staff.
· Track activity, maintain records and complete reports.
· Prepare and distribute correspondence for Property Management staff.
· Maintain schedules, arrange meetings and prepare rooms/facilities for Property Management staff.
· Assist Property Managers with scheduling of apartment showings, hearings and other meetings.
· Assist with data entry of Maintenance work order system.
· Operate and maintain office equipment.
· Maintain confidentiality.
· Other duties as assigned.
QUALIFICATIONS
· High School Diploma or equivalent.
· 2 years office experience.
· Excellent communication skills.
· Proficient in major office software applications.
· Excellent keyboard skills.
· Experience working with disadvantaged populations and familiarity with eligibility determination.
· Ability to organize work and work independently.
· Ability to set and reset priorities, as business needs shift.

-Must have the ability to frequently move, lift, pull and push objects such as, boxes, supplies, postage machine, computers up to 15 lbs. Must occasionally have the ability to move, lift, pull and push objects such as, boxes, supplies, postage machine, computers, copier on rollers from 10 to 100 lbs. (moving copier).
-Must have the ability to frequently operate equipment listed below and frequently perform moderately difficult manipulative tasks including typing, data entry, writing and filing.
-Must be able to continuously perform tasks requiring hand-eye coordination such as filing, opening/date stamping/posting of mail and stocking supplies. Must be able to occasionally drive a car.
-Required to frequently sit for prolonged periods. Must be able to frequently walk, stand, stoop, squat, kneel, twist, bend to floor, reach with hands/arms, climb stairs and remain in uncomfortable positions at times for prolonged periods.
-Must be able to continuously articulate and communicate clearly and precisely when giving directions or interacting with staff, professionals, vendors, clients, government officials, investors, partners, property owners, boards, and contractors.
-Must be able to continuously deal effectively with stress created by personnel issues, busy phones, multiple tasks, noises, imposed deadlines, interruptions and multiple priorities and work cooperatively as part of the finance and administrative team while maintaining a pleasant, professional demeanor.

-Must be able to continuously read small print and adjust focus.
-Must be able to continuously hear normal sounds and voice patterns, receive verbal instructions, answer a phone and communicate with others with some background noise.

-Must be able to continuously concentrate on moderately complex and fine details with frequent interruption.
- Must be able to frequently attend to tasks, meetings and seminars for more than 60 minutes at a time.
- Must be able to frequently understand and relate to ideas, generally several at a time, and interpret a variety of instructions furnished in written or oral form.
-Must be able to continuously remember multiple verbal and written tasks/assignments over long periods of time in order to coordinate multiple projects while following company policies and government regulations.
WORKING ENVIRONMENT
· Work is performed primarily indoors year round. There is a temperature controlled environment.
· There are occasions when meetings, seminars and site visits require leaving the office in all seasons.
· Occasional exposure to dust in storage areas.
· Noise level is usually moderate.
· Frequent exposure to VDT radiation.
EQUIPMENT USED
· Day to day office equipment & supplies (Phones, copier, computer, calculator, etc.).
· Automobile.
EMPLOYEE RESPONSIBILITY IN AN EMERGENCY
· Expected to respond to emergency situations involving the safety of residents and employees.

PAY LEVEL: $28.00-$33.400/hour
Pay: $28.00 - $33.00 per hour
