Job Summary
The Administrative Assistant III coordinates activities and provides administrative support for dynamic academic offices within the School of Medicine. The position exercises limited independent judgment in coordinating the details of the office. Requiring an understanding of complex processes, data, and operations of a department. This position creates and maintains associated documents and databases, arranges and coordinates meetings, special events. Provide updates on critical issues, events and detailed responses to requests for information. Reviews and update administrative procedures.
Major Responsibilities/Duties/Critical Tasks

Manage calendar scheduling for the Chair’s office including appointments, meetings, and events.

Coordinate travel arrangements and reimbursements.

Perform monthly financial reconciliation for multiple accounts.

Monitor endowment funds and report monthly balances.

Process purchase requisitions for office supplies, computer equipment, software, promotional items, memberships, and catering.

Organize and prepare annual budget documentation.
-
Respond to voice mail messages in a timely manner.
-
Submit maintenance work orders and IT Security Request forms as needed.

Maintain department computers and printers.
-
Perform other duties as assigned.
Required Education/Experience
-
High School Diploma or GED equivalent.
-
Five (5) years of related work experience.
-
May accept a combination of education and experience.
Preferred Education/Experience
-
One (1) or more years of clerical experience.
-
Experience in purchasing, travel coordination, and account management preferred.

Database experience.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
