Job Summary
We are a growing small business seeking a hands‑on Financial Controller to own our day‑to‑day accounting, cash flow management, and financial reporting. The ideal candidate has specific experience with California sales and use tax compliance and is fluent in Spanish to support communication with Spanish‑speaking vendors, partners, and team members.
Duties
- Oversee all daily accounting operations, including general ledger, accounts payable, accounts receivable, and bank reconciliations.
Required Qualifications
- Minimum 2 years of progressive accounting or finance experience, ideally including a controller, senior accountant, or similar role in a small business environment.
- Strong practical experience with California sales and use tax compliance (preparing returns, understanding nexus, exemptions, and use tax on purchases).
- Fluency in Spanish (spoken and written) and ability to conduct business conversations and review documents in Spanish.
- Solid knowledge of GAAP‑based accounting, month‑end close, and preparation of financial statements.
- Proficiency with accounting software (e.g., QuickBooks or similar), spreadsheets, and basic reporting tools.
- Strong analytical skills, attention to detail, and ability to work independently in a small, fast‑moving business.
Preferred Qualifications (E‑Commerce Focus)
- Direct experience managing finances for e‑commerce or omnichannel businesses (e.g., Shopify, Amazon, marketplace or DTC brands).
- Experience reconciling payment processors and sales channels (Shopify Payments, PayPal, marketplaces) to the general ledger.
- Familiarity with inventory and COGS accounting for physical products sold online, including returns, discounts, and promotions.
- Background in retail, apparel, manufacturing, or import/export operations is a plus.
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
- Experience improving accounting processes, implementing controls, or helping a small business scale its e‑commerce financial operations.
- Prepare accurate monthly financial statements (P&L, balance sheet, cash flow) and management reports for the business owner, with clear breakdowns for e‑commerce vs. other channels.

- Handle payroll processing or review, ensure proper recording of payroll expenses, and coordinate with external payroll providers if applicable.
- Ensure full compliance with California sales and use tax requirements, including:
- Maintaining sales tax records and supporting documentation
- Preparing and filing California sales and use tax returns (CDTFA) on time
- Correctly applying tax to online and in‑store sales, and tracking exempt and out‑of‑state sales
- Managing use tax on business purchases where sales tax was not collected by vendors
- Configure and monitor sales tax settings in e‑commerce platforms and payment processors (for example, Shopify, marketplaces, or other carts), ensuring tax is calculated and collected correctly for California and other relevant jurisdictions.
- Coordinate with external CPA or tax advisors on income tax filings, annual reviews, or audits.
- Develop and maintain internal controls, accounting policies, and procedures appropriate for a small, omnichannel business.
- Support budgeting and forecasting, monitor actual results vs. budget, and explain variances with clear, actionable recommendations.
- Provide financial analysis to the owner (profitability by product line, margin analysis by sales channel, pricing input, cost‑reduction opportunities).
- Lead or support system improvements (accounting software, e‑commerce reporting dashboards, and process automation) to increase efficiency.
- Communicate confidently in Spanish with vendors, customers, and team members as needed, and translate key financial or tax information where helpful.
