BASIC FUNCTION:
The Project Manager is responsible for overseeing the workflow, coordination, and execution of tax engagements from project creation through final filing and closeout. Working closely with the Tax Director, Director of Operations, Tax Managers, Tax Staff, and other key client facing stakeholders, this role is responsible for project management, workflow oversight, capacity coordination, KPI reporting, process improvement, and technology utilization within the Tax Department. The Project Manager helps ensure tax engagements move efficiently through the firm while maintaining a high level of client service and compliance.
ESSENTIAL FUNCTIONS:
Tax Project & Workflow Management
· Own the lifecycle of tax projects from setup through completion, filing, and closeout.
· Create and maintain tax projects within CCH, HubSpot, and other designated firm systems.
· Coordinate with the Tax Director and Tax Managers regarding project priorities, assignments, deadlines, and workload distribution.
· Monitor project progress and proactively shepherd engagements through each stage of completion according to established timelines and firm standards.
· Maintain visibility into all active tax engagements and communicate project status to leadership and staff, identifying workflow bottlenecks, overdue projects, capacity concerns, and resource constraints and elevate issues as appropriate.
· Assist leadership with workload balancing, project assignments, and capacity planning.
· Coordinate the collection of client information and follow up on outstanding deliverables necessary to keep projects moving.
Process Improvement, Technology & Reporting
· Collaborate with the Tax Director and Director of Operations to improve departmental processes, workflow efficiency, and technology utilization.
· Maintain and report on departmental KPIs, including workflow aging, turnaround times, on-time completion metrics, capacity utilization, and project status.
· Generate reports and provide operational insights to assist leadership in managing department performance.
· Document and maintain tax department processes, workflows, checklists, templates, and standard operating procedures.
Tax Project Filing Support
· Assist with assembly, delivery, filing, and closeout of tax returns and related projects and client deliverables.
· Ensure filing confirmations, engagement records, and required documentation are properly maintained.
· Monitor filing deadlines and assist in ensuring timely submission of tax returns and related filings.
· Maintain electronic client files and project documentation in accordance with firm procedures.
· Track outstanding signatures, authorizations, and client approvals required for filing and delivery.
· Serve as a point of contact for project status updates, document requests, and routine client communications.
· Provide administrative support necessary to facilitate the efficient completion of tax engagements.
MARGINAL FUNCTIONS:
· Act as a point of contact with clients as needed.
· Address all situations with a high level of confidentiality and discretion.
· Work on special projects as requested by the Leadership Team.
· Any reasonable task as assigned by the Partners, Tax Director, or immediate supervisor.
QUALIFICATIONS:
· Bachelor's degree preferred; equivalent professional experience will be considered.
· 3–5 years of experience in project management, tax operations, public accounting administration, or professional services operations.
· Experience working within a CPA firm, tax practice, or accounting environment required.
· Experience with CCH, HubSpot, or another project management workflow management systems preferred.
· Demonstrated ability to manage multiple projects, deadlines, and stakeholders simultaneously.
· Strong organizational, project management, and communication skills.
· Exceptional attention to detail and ability to manage multiple priorities and deadlines.
· Strong client service orientation and professional communication skills.
· Proficiency in Microsoft Office Suite, particularly Excel.
Job Type: Full-time
Pay: $75,000.00 - $85,000.00 per year

Experience:
- CPA firm, tax practice, or accounting environment: 1 year (Required)
- project management or tax/accounting operations: 3 years (Preferred)
- CCH, Hubspot or other PM software: 1 year (Preferred)
