Definition
Professional administrative and supervisory work leading the Circulation Department at Robbins Library. Oversees the management, leadership, and coordination in planning and operations, collaborates with other Library Departments and serves as the primary point of contact with the Minuteman Library Network on issues relating to Circulation functions. All other related work, as required.
Supervision
Works under the general supervision of the Assistant Library Director. Performs varied and responsible library duties requiring considerable daily management, initiative, and judgement. Assignments are completed according to established network procedures and departmental policies and standards.
Supervisory Responsibilities
Supervises an Assistant Head of Circulation, 5-6 dedicated full-time library assistants, 7-10 part-time library assistants, 4-10 library pages, and pool of on-call circulation library assistants.
Work Environment
Work is performed under typical library conditions; the workload is subject to seasonal and other fluctuations; regular library schedule requires evening and weekend work.
The employee operates standard office and library equipment, and online and computer-based library and office tools.
The employee has frequent contact with library patrons to provide information and assistance and support customer service issues, other Library departments, and staff at the Minuteman Library Network. The employee also has regular contact with other libraries and community organizations. Contact is in person, as well as by telephone, email and written correspondence.
The employee may be called upon to learn new library and office tools as required to meet changes at the network, Library, or Town level. The employee must remain informed on and adapt to library trends.
The employee has access to confidential patron records.
Errors could result in delay of service, monetary loss or legal repercussions.
Essential Duties and Responsibilities

Oversees and schedules the operations and personnel of the circulation department, consistently among the top ten busiest in the state, including all duties of the circulation desk, administers museum passes, and maintains complete and accurate records, and other duties of the circulation department.
Responsible for overseeing staff performance and management of the Circulation Department. Directs, instructs, advises, assists and checks subordinates pertaining to schedules, methods, standards of performance, rules and regulations, and safety precautions. Participates in the selection and training of new staff; ensures current staff receive ongoing training; selects and trains pages; ensures that the circulation desk is adequately staffed.
Prepares department statistics, monthly and other periodic reports.
Plans, evaluates, recommends and implements approved policies, procedures, goals and objectives regarding circulation functions, including handling of holds and unusual items, department expenditures, overdue and lost materials and interchange procedures.
Responsible for the accounting of all money collected for lost items and other fees, ensures that funds received are properly recorded and forwarded as required.
Enforces library policies including circulation of materials, use of equipment, and patron conduct. Assists patrons in the use of library facilities and resources. Answers inquiries on procedures in person and by email and telephone.
Attends and participates in a variety of meetings to discuss developments, directives, and problems of mutual concern. Serves as liaison to the Minuteman Library Network on matters related to Circulation, disseminates relevant information to library staff in other departments.
Regularly communicates with the Assistant Head of Circulation to ensure that shelving is regularly performed and ensure accuracy and timely operation; ensures that work areas and equipment are appropriately maintained.
Performs similar or related work as required, or as situation dictates.
Recommended Minimum Qualifications
Education and Experience
Bachelor's Degree; three years of professional library experience; experience in automated circulation management; supervisory and management experience; or an equivalent combination of education and experience.
Knowledge, Ability and Skill
Knowledge of library policies and procedures, including integrated library systems, periodical management, and information technology. Thorough knowledge of circulation department operations, or demonstrated ability to learn new skills.
Demonstrated supervisory and organizational skills. Project management skills. Excellent customer service skills. De-escalation skills. Demonstrated patience and creative problem solving skills. Oral and written communication skills.
Team management and leadership, ability to create meeting agendas and other team communication opportunities. Collaborate effectively within the Circulation Department, across library departments and network, and other library partners as necessary.
Ability to organize time and accomplish tasks with accuracy and attention to detail. Ability to work effectively under time constraints.
Excellent computer skills. Knowledge of or demonstrated ability to learn Sierra ILS, Google Workspace, Microsoft Office, and other tools as necessary.
Ability to interact respectfully, tactfully, and appropriately with a diverse population of library patrons. Ability to work independently. Ability to learn computer operations and related library databases.
Ability to adapt to changing methods and standards in service delivery.
Physical Requirements
The employee is frequently required to stand, walk, sit, speak, hear, use hands to repeatedly lift up to 40 lbs of bins, books and materials, use hands to operate equipment, climb, stoop, reach with hands and arms and move and push equipment and materials. Vision requirements include the ability to read routine documents and use a computer.
