Position Overview
We are seeking a highly organized, compassionate, and detail-oriented Surrogacy Case Manager to guide and support both intended parents and gestational carriers throughout the surrogacy process.
This role blends care coordination, client relationship management, and medical case oversight, working closely with fertility clinics, legal teams, and internal staff to ensure a seamless and supportive journey from match through delivery.
Key Responsibilities
- Serve as the primary point of contact for assigned intended parents, donors and surrogates
- Provide ongoing emotional support, education, and guidance throughout the journey
- Coordinate all aspects of the surrogacy process, including:
- IVF cycle coordination and monitoring timelines
- Appointment scheduling and follow-ups with clinics
- Communicate regularly with fertility clinics, attorneys, escrow, and insurance providers
- Ensure all documentation is complete, accurate, and maintained in compliance with internal systems
- Track case progress and provide timely updates to internal team members
- Assist with match coordination, including preparing profiles and supporting match calls
- Proactively identify and resolve issues with professionalism and care
- Maintain strict confidentiality and adhere to HIPAA guidelines
Qualifications
- 2+ years of experience in case management, fertility/IVF coordination, surrogacy, or related field
- Bachelors preferred
- Strong understanding of third-party reproduction (surrogacy/egg donation) preferred
- Excellent communication skills—both written and verbal
- Highly organized with strong attention to detail and ability to manage multiple cases
- Compassionate, patient, and emotionally intelligent
- Comfortable working in a fast-paced, dynamic environment
- Experience with medical records and coordination with clinics preferred
- Proficiency with CRM systems and Microsoft Office/Google Workspace
