The Role
We are seeking a Clinic Operations Manager who understands that in a concierge setting, operations exist to serve the patient experience — not the other way around. You will ensure that every patient interaction, every room transition, every scheduling touchpoint, and every staff encounter reflects the standard our members expect and deserve.
This is not a coordinator role with a manager title. It is a genuine leadership position with full operational accountability and a personal mandate to protect and elevate the patient experience at every level of the clinic.
What You’ll Be Responsible For
- Setting and enforcing a hospitality-level service standard across all staff and patient touch points — from greeting to discharge• Ensuring the facility is immaculate, fully stocked, and operating flawlessly before the first patient of the day• Managing patient scheduling with attention to preference, continuity of care, and white-glove responsiveness to changes or special requests• Anticipating patient needs proactively — not reactively — and building a team culture that does the same• Leading, coaching, and holding accountable a mixed full-time and part-time team of clinical support and administrative staff• Handling patient concerns and service recovery with professionalism, empathy, and genuine urgency• Overseeing same-day cash collection, daily reconciliation, inventory management, and vendor relationships• Overseeing full implementation and staff adoption of Boomerang EMR across all clinical and administrative workflows• Serving as the primary operational point of contact for clinic ownership — nothing falls through the cracks on your watch
What We’re Looking For
Minimum 3–5 years of management experience in a concierge medical practice, luxury wellness center, high-end spa, or premium private-pay healthcare environment is required. Applications without this background will not be considered.
- A genuine, demonstrable passion for patient experience and service excellence — you notice the details others miss before anyone has to point them out• Proven ability to lead a team to a hospitality-level standard, not just a clinical one• Grace under pressure — when a high-value patient has a concern, you handle it with composure, ownership, and resolution• Deep familiarity with the expectations of private-pay or membership-based clientele• Proficiency with CRM and scheduling platforms; experience with BoomerangFX a plus• Exceptional verbal and written communication with patients, staff, and ownership• Someone who takes personal pride in the environment they manage and holds others to the same standard
