Job Summary
We are seeking a dedicated and personable Client Service Representative to serve as the first point of contact for our clients and their pets. The ideal candidate will possess excellent communication skills, technical proficiency, and a passion for delivering outstanding customer service. In this role, you will manage front desk operations, coordinate appointments, and support administrative functions to ensure a smooth and welcoming experience for all visitors.
Responsibilities
- Greet clients warmly upon arrival and assist with check-in and check-out procedures efficiently.
- Manage multi-line phone systems to answer inquiries, schedule appointments, and provide information about services.
- Maintain accurate client records through data entry and filing, ensuring confidentiality and organization.
- Utilize office management software such as Microsoft Office and Shepherd to process transactions and generate reports.
- Coordinate calendar management for veterinarians and staff to optimize appointment scheduling.
- Support office operations by handling clerical tasks including proofreading documents, managing spreadsheets, and maintaining filing systems.
- Provide exceptional customer support by addressing client concerns promptly and professionally while demonstrating excellent phone etiquette.
- Assist with office management duties such as inventory control, bookkeeping, and maintaining a clean, organized front desk area.
Skills
- Basic proficiency in Microsoft Office Suite (Word, Excel)
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Previous office experience in a veterinary or medical setting is preferred; familiarity with dental or medical receptionist duties is advantageous.
- Exceptional phone communication skills coupled with professional phone etiquette.
- Knowledge of office management practices including filing systems, calendar management, and bookkeeping.
- Demonstrated customer service skills with a friendly yet professional demeanor; experience in front desk or administrative roles is essential.
