Responsibilities
- Serve as the first point of contact at the front desk, greeting visitors and directing phone calls using multi-line phone systems with courtesy and professionalism
- Manage incoming correspondence, emails, and inquiries via phone, email, or in person, ensuring timely responses and follow-up
- Maintain organized office operations by handling data entry, filing, document proofreading, and updating records accurately using Microsoft Office and Google Workspace tools
- Support bookkeeping tasks such as invoicing, expense tracking, and managing financial records through QuickBooks or similar accounting software
- Assist with calendar management, scheduling appointments, coordinating meetings, and organizing events to optimize team productivity
- Handle confidential information with discretion while maintaining high standards of accuracy in clerical tasks and documentation
- Provide excellent customer support by addressing client questions, resolving issues efficiently, and ensuring a positive experience for all visitors and callers
Requirements
- Proven office management or administrative experience with strong organizational skills and attention to detail
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Strong communication skills both over the phone and in person; bilingual abilities are a plus but not required
- Ability to handle multiple tasks simultaneously while maintaining professionalism under pressure
- Familiarity with front desk operations, multi-line phone systems, filing systems, and office equipment
- Demonstrated ability to manage confidential information responsibly with integrity
- Personal assistant or calendar management experience is advantageous but not mandatory
- High school diploma or equivalent; additional certifications in office administration or customer service are beneficial
- At least one (1) year of customer service experience
- Bilingual ( Spanish preffered )
