Aspiring Smiles Aesthetic Dental Spa is looking for an experienced Dental Treatment Plan Coordinator & Insurance Specialist to join our growing team.
We are a modern, patient-centered dental practice focused on creating an exceptional experience from the moment a patient walks through our doors. We provide comprehensive, restorative, cosmetic, Invisalign, implant, and periodontal care, and we are looking for someone who can confidently help our patients understand both their treatment and the financial options available to make that treatment possible.
This is not simply a front-desk position.
We are looking for an experienced dental professional who understands treatment planning, dental insurance, financial coordination, and case acceptance and who genuinely enjoys helping patients move forward with the care they need and want.
What You'll Do
As our Treatment Plan Coordinator & Insurance Specialist, you will serve as the bridge between the doctor, the clinical team, the patient's insurance benefits, and the patient.
Your responsibilities will include:
- Presenting treatment plans clearly, confidently, and compassionately
- Helping patients understand the value and importance of their recommended treatment
- Reviewing treatment costs, estimated insurance benefits, and patient financial responsibility
- Discussing payment and financing options and helping patients find solutions that fit their needs
- Converting accepted treatment into scheduled appointments
- Following up consistently on unscheduled and incomplete treatment
- Building relationships with patients and helping them feel comfortable moving forward with care
Dental Insurance Responsibilities
- Verify dental insurance eligibility and benefits accurately
- Obtain detailed benefit breakdowns
- Understand deductibles, annual maximums, frequencies, limitations, waiting periods, downgrades, missing-tooth clauses, and exclusions
- Understand PPO insurance plans and fee schedules
- Prepare accurate patient treatment estimates
- Submit and follow up on predeterminations and pre-authorizations when appropriate
- Assist with claims, attachments, narratives, insurance follow-up, and appeals as needed
- Understand CDT codes and dental terminology
- Clearly explain to patients the difference between estimated insurance benefits and guaranteed payment
- Maintain accurate insurance information and documentation in the patient's chart
The Person We're Looking For
You are warm, confident, organized, and comfortable talking about money.
You understand that presenting treatment isn't about "selling dentistry." It's about helping patients understand their condition, their options, and how they can achieve the healthy, beautiful smile they want.
You should be able to comfortably sit with a patient and discuss a treatment plan ranging from routine restorative care to comprehensive cosmetic, Invisalign, implant, or multi-phase treatment.
You aren't afraid to ask:
"What can we do to help you move forward with your treatment?"
And then listen.
Qualifications
Dental experience is required.
Our ideal candidate has:
- 3+ years of dental front-office, insurance, financial, or treatment coordination experience preferred
- Strong dental insurance knowledge
- Previous treatment plan presentation experience
- Demonstrated ability to help patients accept and schedule treatment
- Knowledge of dental terminology and CDT codes
- Experience with insurance verification, claims, predeterminations, and benefit breakdowns
- Experience discussing patient financing and financial arrangements
- Strong computer and dental practice-management software skills
- Excellent verbal and written communication skills
- Exceptional organizational skills and attention to detail
- Professional appearance and communication style
- A positive, solutions-oriented attitude
Experience in cosmetic, implant, Invisalign, comprehensive restorative, or high-value case presentation is a strong plus.
