Messer & Company, LLC is a growing CPA and advisory firm committed to providing exceptional accounting, tax, payroll, and consulting services to businesses and individuals. We are seeking a professional, organized, and customer-focused Administrative & Client Services Coordinator to become an integral part of our team.
This position is much more than answering phones—it serves as the first point of contact for our clients and plays a vital role in keeping our office organized, efficient, and operating at a high level of professionalism.

Primary Responsibilities
- Greet and assist clients in person with a friendly and professional demeanor.
- Answer and direct incoming telephone calls.
- Schedule appointments and assist with calendar management.
- Receive client information and documents while ensuring proper workflow intake and routing.
- Assemble, organize, scan, file, and maintain client records.
- Process client payments and assist with billing-related inquiries.
- Coordinate incoming and outgoing mail, deliveries, and electronic documents.
- Maintain an organized reception and office environment.
- Support staff with administrative projects and day-to-day office operations.
- Help ensure client work moves efficiently through the firm's workflow from intake to completion.
Bookkeeping & Accounting Support
Accounting experience is preferred but not required. We are happy to train the right individual who demonstrates initiative and a willingness to learn.
Responsibilities may include:
- Bank and credit card reconciliations
- Accounts payable and accounts receivable
- Payroll processing
- Data entry into accounting software
- Assisting with monthly bookkeeping services
- Other accounting and administrative responsibilities as experience develops
Qualifications

- Enjoys interacting with clients and provides exceptional customer service both in person and over the phone.
- Communicates clearly, professionally, and courteously.
- Is highly organized with excellent attention to detail.
- Can prioritize multiple responsibilities while maintaining accuracy and professionalism.
- Is dependable, self-motivated, and accountable.
- Takes pride in maintaining an organized workspace and contributing to a positive, team-oriented office environment.
- Is comfortable learning new technology and office software.
- Is proficient with Microsoft Office, including Word, Excel, and Outlook.
- Maintains strict confidentiality with sensitive financial and personal information.
Preferred Qualifications
- Prior administrative or office experience
- Customer service experience
- Bookkeeping or accounting experience
- Experience with QuickBooks or similar accounting software
- Experience working in a professional services environment is a plus
